Position Information

Job Title
Temporary Registrar Specialist

Position Summary
Reporting to the University Registrar, the Temporary Registrar Specialist will assist Registrar with curriculum management and degree audit job functions and other duties including technical, advanced Registrar assistance.

Essential Duties and Responsibilities
1. Manage, maintain and serve as a technical and functional lead on all curriculum, graduation degree audit and program modules in Colleague:
  • Troubleshoot user errors and issues
  • Monitor/audit data entry as appropriate
  • Maintain and update data tables
  • Monitor and set-up of processes
  • Establish training materials and facilitate training


2. Assist Registrar with the editing and publishing of the University Catalog, in regards to curriculum changes.
3. Assist Registrar with curriculum management functions in Ellucian Colleague including:
  • Reviewing course section schedules and processing forms related to curriculum.
  • New course setup and existing course changes
  • Communication with academic departments as needed

4. Assist graduation and degree audit coordinators with first, second or final audit processes and questions including assisting with course substitutions/waivers as needed.
5. Assist Registrar with the implementation of Paradigm for diploma processing.
6. Review NTIV report issues for accurate reporting to financial aid.
7. Generates reports as needed by faculty and administrative offices.
8. Other duties as assigned.

Education, Certifications and/or Licenses
  • Bachelor’s degree; Master’s degree preferred


Experience
  • Experience in higher education including Student Records, 5 years minimum preferred

Knowledge, Skills & Abilities
LANGUAGE SKILLS
Ability to read and comprehend written instructions, correspondence and memorandums. Ability to write routine reports and correspondence. Ability to write, read and interpret documents such as policy and procedure manuals. Ability to speak effectively before groups of customers or University employees.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, & divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw/interpret graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to investigate, analyze data and draw conclusions.
