Job Description
Welcome to Grayson College. Grayson College is in the heart of Grayson County and provides a vital link for higher education. GC offers small classes for personalized instruction, affordable tuition, caring, professional faculty, and the convenience of day, evening or online classes. The college serves approximately 5,000 students annually. Registrar Manages the Registrar's office; maintains academic records for all current and past students; provides academic records and enrollment reports for faculty and administration. Maintains data required for reporting and degree audits. Specific responsibilities typically include maintaining databases, offering schedules, maintenance of student records, graduation clearance, conferring degrees, degree audit set-up, evaluating transcripts, ensuring registration processes are executed in a timely manner, and providing for the overall supervision of the registrar's office staff.


The salary range for this position is $64,385.68 to $96,578.52/annually.

  • 20% Works closely with the IT department to identify, evaluate, and implement improvements to increase software capacity and improve user experience.
  • Vacation Accrual- 2 weeks per year
  • 10% Researches, analyzes, and resolves student disputes as they relate to student records.
  • 5% Prepares and monitors the Registrar and Graduation budgets
  • 15% Hires, trains, supervises, and evaluates staff to perform individual job duties, accomplish departmental and team goals, and promote student success.
  • Holidays- Labor Day, Thanksgiving Break, Winter Break, Martin Luther King Jr. Day, Spring Break, Memorial Day, and Independence Day
  • 5% Other duties as assigned.

  • 20% Ensures records integrity and complies with all state reporting requirements maintains permanent records of students' complete coursework, including grades, grade changes, test scores, drop/add transactions, withdrawals, credit by examination, student deficiencies, and academic achievement. Maintains systems to ensure data accuracy, data security, and student privacy.
  • Tuition-FT employees, their spouse & dependents are eligible for coverage of full Grayson College tuition amount.
  • Sick Leave Accrual- 2 weeks per year
  • Medical premiums covered by Grayson College for FT employee only
  • 5% Plans commencement activities for spring and fall graduates.
  • 10% Oversees the management of student degree requirements; processing of transfer credit; degree conferral, and certifies completion of academic majors, programs, and degrees. Oversees the management of the master course and semester course offerings and manages the planning and execution of registration processes.
  • Personal Leave- 2 days for FT employees per year
  • 10% Serves as Residency Official for tuition rate determination in accordance with state laws. Maintains curriculum and degree audits

  • Complies with all federal and state laws and regulations relating to higher education.
  • Ensures performance reviews completed within 2 weeks of due date.
  • Coordinates the graduation process.
  • Maintains degree audit and transfer credit
  • Manages the student academic record keeping process, certifies completion of student programs and degrees with zero errors.

  • Work Environment Regular exposure to favorable conditions such as those found in a typical office.
  • Interpersonal Skills A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.
  • Education A Bachelors degree is required. A Masters degree is preferred.
  • Other Skills Excellent communication skills. Strong leadership ability. Strong computer skills and knowledge of enrollment systems. Previous experience in a Community College Registrar's office.
  • Physical Requirements The work is typically sedentary. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to do the work.
  • Experience Five years to ten years of similar or related experience.
