Job Summary Reporting to the Lead, Institutional Partnerships (IP), and serving as a key member of the Advancement team, this position advances the mission of Success Academy Charter Schools (SA) through the engagement and solicitation of institutional funders, including corporations, corporate foundations, private foundations, and other institutional, non-governmental funders. Specifically, this includes managing and coordinating of the identification, qualification, cultivation, solicitation, and stewardship of an assigned portfolio of existing and prospective institutional funders, with the goal of significantly increasing grant and/or sponsorship revenues from this sector in support of SA’s ambitious goals for operational, programmatic, and capital purposes.
The Institutional Partnerships Officer is a proactive, confident self-starter that thrives in a fast-paced, entrepreneurial environment that values results. They are persistent and driven to succeed in advancing efforts to grow a robust pipeline of institutional philanthropic support and in setting and exceeding goals. Possesses the highest standards of personal and professional integrity; and Adheres to and promotes SA’s mission, culture, and strategic priorities. Essential Functions:
  • Cultivation and Solicitation (40%) Manages an assigned portfolio of existing and prospective institutional funders with the goal of significantly increasing revenues from this sector.
Authors, co-authors, and/or edits letters of inquiry (LOIs) and proposals, including narrative, scope of work, metrics/results framework, budgets, and compiling supporting documentation with great attention to detail, and working closely with relevant program and finance staff to ensure accuracy of information. This includes aligning proposals and budgets with the funder’s interests, capacity, and limitations/requirements.
Coordinates internal review process for proposals, including review and sign-off, as appropriate, by program leader(s), finance, legal, and Advancement leadership as needed; secures necessary signatures. Leads LOI and proposal submission, including managing funder grant portals and data entry, creating timelines, and reviewing content for accuracy. With IP Lead, manages solicitation of SA vendors in support of fundraising events (e.g., Spring Benefit), as appropriate. Develops and routinely updates calendar of RFPs and other funding opportunities, upcoming proposal and reporting deadlines among known funders and prioritized prospective funders. Meets or exceeds annual revenue goals for institutional grants by maintaining a robust proposal pipeline and continuously prospecting for significant new funding opportunities/fits with SA priorities. In collaboration with the IP Lead and Head of Development, develops and coordinates the execution of actionable engagement and solicitation strategies for current/prospective funders, including the appropriate utilization of key SA executives, program staff, and others.
Assists in the preparation of briefing materials, necessary reports/data, and/or other presentation materials for CEO, CAO, and other executives for meetings with prospective funders. Maintains accurate, timely, and comprehensive records in RE NXT database, including key contacts, decision-makers/influencers, interactions, moves management, next steps, and tracking of proposal and stewardship activity.
  • Grants Management and Stewardship Reporting (30%) Collaborates with IP Senior Associate to manage grant reporting process and fulfillment of requirements for open grants to meet required deadlines. Authors, co-authors, and/or edits report content and expenditure reports in collaboration with program staff and finance. Collaborates with IP Senior Associate to track reporting deadlines and task assignments for open grants in RE NXT database. Liaises with program colleagues to generate narrative and financial reports to fulfill reporting requirements. Manages review process and necessary approvals of reports by relevant program, finance/accounting, and Advancement staff.
Reviews grant agreements (and scope of work) for alignment with proposal, approved budget, and funder’s requirements. Coordinates grant award review process and prepares for review/signature by senior leadership.
Collaborates with Donor Engagement team to manage overall stewardship plan for portfolio of funders to include both personal contact and updates from relevant staff and works creatively to identify new stewardship opportunities for institutional funders. Ensures appropriate and timely acknowledgement of IP grants from CAO, CEO, others.
  • Prospect Research and Analysis (20%) Continuously identifies opportunities to grow the pipeline of prospective institutional funders. Establishes requisite processes – in collaboration with others – to identify and qualify prospective funders and assess “fit” with SA priorities. Effectively utilizes available online research tools for prospecting, as well as monitors grant activity and trends in the K-12 sector. Further develops and maintains a robust system to track and manage institutional prospect target lists for workflow management/priorities. Evaluates and qualifies new leads/prospects through research and discussion with colleagues, leadership, and program staff, identifies points/means of contact, and develops strategies for engagement.
  • Other Administrative (10%) Works with IP team to develop, document, and maintain systems and processes to support grant application and management, including templates, prospect/proposal tracking and report tracking. Maintains updated database of “boilerplate” content for proposals, as well as updated legal documents for grant submission.
Works with legal and finance to identify gaps in internal policies and processes (e.g., procurement policies, internal controls for restricted funding). Participates in and helps staff SA/Advancement events, as needed. Keeps current on news, trends, and best practices associated with grants and grantmaking opportunities.
  • Additional Responsibilities & Occasional Duties Other duties as may be assigned from time to time. Occasional evening and weekend work required to meet critical deadlines. Qualifications Education (Minimum Needed and Type of Degree Needed): Minimum Required: Bachelor’s Degree Preferred: Advanced degree. CFRE or other specialized certification/designation is beneficial.
