Location/Division Specific Information
Discover Impactful Work: The Events Marketing Specialist will support the Pharmaceutical Services Group Tradeshow and Events team. The Events team collaborates with marketing and sales business partners to lead, complete, and measure events such as conferences, tradeshows, sales meetings, site events, and other proprietary events globally.
Candidate will be responsible for planning, design and execution of tradeshows, exhibits, meetings and events of all tiers including site events, working with partners to project plan, implement and report post event analytics. Travel to tradeshow and event destinations is required for onsite set-up and support.
Location: US Remote (Central or Eastern Time Zone preferred)
Key Responsibilities:
- Handle other projects and assignments as needed
- Handle day-to-day oversight of and communication with third-party vendors and tradeshow representatives to ensure consistent and efficient execution of all shows
- Manage availability of graphics, banners, backdrops and support materials for events
- Process invoices for events and ensure that vendors are paid on time; follow up with Accounts Payable on issues related to payments
- Project manage end to end planning and execution of conferences, trade shows, site openings, and other events as assigned
- Collaborate with Market Development Managers and other event partners on requirements for exhibits, graphics and collateral needed for events
- Facilitate timely achievement of all milestones and ensure expenses align with budgets.
- Consolidate and report out on – post-event feedback, event metrics, including client engagement, new contacts, qualified leads, cost per lead and other metrics as needed to assess return on investment
- Develop and maintain “Event in a Box” solution for sales led smaller tradeshows and conferences
- Collaborate and lead teams within various areas of marketing
- Facilitate planning calls with business partners, order show services, work with 3rd party exhibit house, and handle A/R and A/P invoice processes
- Regularly communicate event plan and logistics with all relevant partners through various channels, including but not limited to, core team meetings, event email updates, ad hoc presentations, and executive briefing documents according to team SOP guidelines and timing
- Build scope and plans for Event projects, including timelines, lead times, marketing, exhibit booth and sponsorship options, task schedules, estimates and budgets.
- Curate event websites with pre and post event material
Education
- Bachelor’s Degree preferred - Marketing, Communications, Event or Meeting Planning – or equivalent experience in the hospitality industry
- High school diploma or equivalent required
Experience
- Strong contract negotiation and vendor management experience
- Background in Pharmaceutical / CDMO industry preferred
- Confident navigating a sophisticated, matrix business environment required
- 5 years+ in hospitality or event-related industry
- Strong skills with Microsoft Office, especially Excel, Powerpoint and Word. Experience with business analytics tools such as PowerBI
- Strong multitasker who prioritizes responsibilities
- Experience working with digital meeting management tools including registration, booking meetings and contact capture
- Learn and use new marketing tools including CRMs, virtual platforms, and project management software such as WorkFront
- Achieve results while working independently and in a group setting
- Ability to work and lead cross-functional teams with all levels of colleague participants
- Knowledge of digital marketing channels and tactics
- Strong ability to see and understand the big picture yet remain detail oriented
- Detailed knowledge of tradeshow and hospitality industry including exhibit production processes, meeting planning methods and virtual event experience
- Proficient building scenarios, identifying risks, and recommending solutions based on both quantitative and qualitative inputs
- Travel up to 25% (includes some evenings and weekends and some international travel as project requires)
- Strategic problem solver who can take initiative, think creatively and drive additional value to all events
Physical Requirements
- Physical exertion including some heavy lifting (20 – 25 lb.) and being on your feet for long periods of time
