Position Summary:
At MedscapeLIVE! you will be responsible for leading an events team responsible for managing the logistics for multi-day conferences while collaborating with key stakeholders to ensure flawless execution of each event. The applicant should be a highly organized and detail individual with the ability to prioritize and excel in a deadline driven environment. The applicant should also have excellent problem-solving, critical thinking, and conflict resolution skills and be adept at internalizing and distilling issues and providing real-time guidance to team members.
What You’ll Do:
- Attend conferences as the onsite events lead to oversee logistical details with the hotel and onsite staff
- Prepare draft budgets for conferences based on venue costs, event schedule, and historical performance
- Ensure all event reconciliations are completed on-time and cost savings are tracked/reported
- Continuously identify opportunities to improve internal processes and the onsite attendee experience
- Train all staff including freelancers on the Proprietary Conference business and internal processes surrounding the planning and onsite execution of these events
- Evaluate the experience, feedback and results for each conference and implement changes accordingly
- Lead and manage the events team to ensure flawless execution of proprietary conferences within the US
- Ensure planned expenses are tracked and updated in the system for proper forecasting and reconciliation
- Venue management including but not limited to arranging guest sleeping rooms, meeting space, food & beverage, and meeting materials
- Participate in available training opportunities as directed by leadership
- Oversee the sourcing process to identify viable options that not only fit conference specs but offers flexibility in terms of contract negotiations, meeting space, sleeping rooms, food & beverage, and AV

Qualifications:
- Domestic travel required, up to 40% travel time, including nights and weekends
- Experience planning and managing multi-day events up to 500 attendees
- Bachelor’s degree required
- Minimum 3 years’ experience managing or supervising a team of event professionals of 3 or more
- Minimum 7 years’ experience required in conference/event planning, preferably in the healthcare industry
- Must have strong written and verbal communication skills
- Knowledge of Workfront is a plus
- Working knowledge of Google Applications
- CMP certification highly recommended
- Expert knowledge of MS Excel and all other Microsoft office software
Salary Range: $75-90k annually + benefits
