Job Description
We Are Hiring:
  • Location: Woodmont Blvd, Nashville, TN
  • Schedule: Full-time Days
  • Prepares and coordinates the preparation of correspondence, reports, presentation materials and other written communications as required.
  • May supervise administrative staff, including scheduling, recruitment, payroll, and staff relations. Provides input to performance management.
  • Coordinates schedules, visitors, telephone calls, meetings, deadlines and presentations to ensure the executive office functions seamlessly. Maintains executive office calendar.
  • Monitors financial and budget information and prepares data for review.
  • Attends board and management meetings, maintains minutes of all proceedings and acts as custodian for all related documentation. Prepares and distributes subsequent correspondence as needed, and follows up on action items to ensure completion.
  • Oversees scheduling, catering, document preparation and distribution for meetings and conference calls for the Board of Director and Board committees.
  • Schedules and coordinates management meetings, conferences, special events, and travel arrangements.

Core Responsibilities
  • Direct Support to ministry CEO/System Office Executive
  • Serve as gatekeeper and gateway to the executive through proactive and strategic complex calendar management to ensure a seamless experience.
  • Ensuring accurate scheduling and prioritization.
  • Proactively scheduling time for the leader to plan and prepare.
  • Maintain established calendar expectations, including but not limited to:
  • Requiring meeting agendas ahead of confirming meeting acceptance.
  • Utilize CWT Concierge to coordinate travel arrangements and logistics including flights and accommodations.
  • Guide the executive’s strategic priorities; identify the areas where they must direct their focus and regularly revisit and evaluate progress.
  • Keep the executive accountable for commitments while helping keep direct reports accountable for results.
  • Manage internal and external communications including responding on behalf of the executive.
  • Review upcoming meetings to ensure the leader has all of the information needed to be as productive as possible.
  • Develop documents, presentations, and supporting materials to support the executive and related functional area.

Meeting and Program Management
  • Manage the meeting cadence for the executive’s team meetings, ensuring materials are sent in advance, time is well spent, and objectives are achieved.
  • Coordinate all aspects of the executive’s responsibilities for internal and external engagements; draft agendas, orchestrate the preparation of related materials and drive responsible parties to meet high consequence deadlines.

Project Management
  • Track high priority initiatives and identify any obstacles and facilitate resolution.
  • Work across teams to prepare briefings and compile research for meetings with partners and key leaders (e.g. identify goals and talking points, provide background on attendees, etc.) and direct follow-ups.

Strategic Initiatives
  • Provide decision support through data gathering, information analysis, and presenting
considerations to relevant stakeholders.
  • Coordinate business-wide procedures and work to improve existing processes for maximum clarity, efficiency, and success.

Team Management
  • Serve as a central source of information.
  • Help align leaders on internal processes.
  • Work with leaders on various cross-functional projects to support progress on priority work streams, build decision-making frameworks & deliverables
What You Will Do:
Manage assigned project(s) to completion.
  • Develop project goals, objectives and schedule to align with defined business strategy.
  • Communicate and document project quality and progress metrics.
  • Define project budget and monitor and adjust plan as resource requirements change.
  • Address and resolve project issues to ensure project remains on track.
  • Develop, track and document all aspects of the project.
  • Define and ensure resources are assigned to meet project goals.
What You Will Need:
Education:
  • 3 years of leadership or management experience preferred.
  • High School diploma equivalency with 3 years of cumulative experience OR Associate's degree/Bachelor's degree with 2 years of cumulative experience OR 7 years of applicable cumulative job specific experience required.

  • Strong ability to think strategically and proactively in order to make recommendations that align strategy with action.
  • Bachelor's degree required.
  • Demonstrated strategic partnerships and collaborative relationships across all levels of the organization.
  • Strong interpersonal skills with the ability to build trust.
  • Excellent oral and written communication skills.
  • Proven track record of managing tasks and requests to close.

Preferred Qualifications
  • 5+ years of experience organizing and managing c-suite senior executives with complex sets of responsibilities and relationships, preferably in large, matrixed, multi-site organizations.
  • Strong communication and interpersonal skills
  • Strong project management capabilities, both at a tactical and strategic level.
  • Detail-oriented and data-driven.
  • Excellent organizational and time management skills with an acute ability to think proactively and prioritize work
  • Proficiency with G Suite products.
  • Experience exercising discretion and confidentiality with sensitive information
