Job Description
POSITION SUMMARY: Supports CEO by providing day-to-day communication support, calendar management, meeting preparation, travel logistics, and expense reporting. This individual must be able to interact and communicate with a variety of individuals including CMA staff, Board Members, industry personnel, vendors, and CMA members. This position requires strong organizational, administrative, and computer skills. Must also possess a high level of professionalism and confidentiality with the ability to exercise good judgment and discretion in dealing with matters of a sensitive or confidential nature.
This position is based in Nashville, TN and requires a minimum of 3 days of in-person work per week.

ESSENTIAL FUNCTIONS:
Support Chief Executive Officer in day-to-day email and phone communication/correspondence
Receives incoming communication on behalf of CEO, reviews contents, determines importance, and responds or distributes to appropriate staff as necessary
Manage CEO’s calendar
Ensure that CEO is prepared with materials for events and meetings with appropriate time to review them in advance
Arrange travel logistics and reservations for CEO
Prepare and submit expense reports for CEO
Input invoices into accounting software with proper coding
Assist with scheduling needs, meeting preparation, and correspondence for CMA Board of Directors, Committees, and Task Forces. Coordinate administrative functions for related meetings with Industry Relations Department.
Prepare presentations in Canva and other programs
Secure catering for meetings
Prepare meeting summaries
Take minutes in staff, board committee, and board task force meetings as requested
Draft letters, memos, and other documents for CEO
Other duties as assigned
QUALIFICATIONS REQUIRED:
Bachelor’s Degree in related field or equivalent work experience
Minimum 5 years of experience as an executive assistant
Strong communication skills, both verbal and written
Strong writing skills
Demonstrated proficiency with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and Canva
Strong communication and interpersonal skills
Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround
Ability to autonomously manage multiple simultaneous projects and tasks, re-prioritizing work as needed in order to stay on schedule to meet deadlines
Strong organizational skills and superior attention to detail
High level of integrity and discretion; able to handle sensitive matters with tact and diplomacy
Familiarity with country music industry, industry leaders, and industry personnel preferred
