Job Description


This position serves as a management assistant to the Warren District Supervisor and provides secretarial support for DWEHD staff in the district office, which covers Macomb, Oakland, St. Clair, and Wayne Counties. Responsibilities include composing, formatting, and editing correspondence and reports, serving as a liaison between management and district office staff, make scheduling commitments for district office manager and staff, and reads and screens incoming correspondence and reports. This position supplies requested information and provides guidance and interpretation of EGLE and DWEHD policies and procedures to the general public, public interest groups, regulated facilities, environmental consulting firms, and state and local government. This position also conveys and follows up on information and instructions requiring a thorough knowledge of the supervisor’s and DWEHD’s goals and objectives regarding EGLE programs. In addition, this position coordinates the administrative aspects of the walk-in/mail-in permit application processing program, manages DWEHD WDO operations including maintenance of records and coordination of Freedom of Information Act (FOIA) requests, and provides administrative support to other divisions and backup support to the reception desk at the district office. This position also reviews and evaluates applications and other documents for completeness.

The work location of this position will be the Warren/Southeast District Office. However, the selected candidate may be eligible for a hybrid work schedule (combination of remote and in-person) or a fully remote work schedule (with occasional travel to their official work location). Employees approved for schedules that include remote work must complete that work within Michigan. Relocation expenses are not reimbursed. When working remote, employees must use a designated workspace that is safe and professionally appropriate, allows for privacy, minimizes distractions, and includes secure internet access. Required Education and Experience

Education
Educational level typically acquired through completion of high school.
Experience
Four years of office experience involving administrative support practices, including one year equivalent to advanced 8-level administrative support work, or equivalent to a Secretary E8, or Legal Secretary E8.
OR
Four years of office experience involving administrative support practices, including two years equivalent to experienced E7-level administrative support work, or equivalent to a Secretary 7, or Legal Secretary 7.

Vacation and Sick Leave: Eligible full-time employees receive between 15 and 35 personal days and 13 sick days per year that may be rolled over to the following year if not used. Eligible employees also receive an additional day each year for community service or school functions.

Paid Parental Leave: Eligible employees can take 12 weeks of paid leave immediately after a birth or adoption to allow needed time together at home with a new child.

Paid Holidays: Eligible employees receive 13 or 14 paid holidays each year including New Year’s Eve and Day, Martin Luther King Jr. Day, Presidents’ Day, Memorial Day, Juneteenth, the Fourth of July, Labor Day, Election Day, Veterans Day, Thanksgiving, Thanksgiving Friday, Christmas Eve and Day.

Bonus Programs: Eligible employees with five years of service also receive annual longevity bonuses that grow as seniority increases. Some positions also may qualify for recruitment, retention, and performance bonuses or other special pay premiums.
