Job Title: Rental Property Manager
Job Summary
Alys Beach is seeking a Rental Property Manager to support our growing rental operation. The candidate will assist the Senior Director of Owner and Guest Services in managing and supporting the rental owners and other services offered to property owners. This position will be a crucial point of contact between our homeowners and multiple departments at Alys Beach.
Job Responsibilities
- Use good judgment and maintain discretion and diplomacy while performing job duties.
- Act as a centralized point of contact for owners on the rental program utilizing information obtained from multiple departments across Alys Beach and outside vendors.
- Meet weekly with the Director of Guest Services and Town Operations department to determine what services and upcharges are appropriate to bill.
- Responsible for ongoing communication and responsiveness to rental owners and ensure expectations are communicated to the operations team to meet and exceed owner expectations and satisfaction.
- Work with owners, Town Operations, Housekeeping and Guest Services when upgrading or replacing furnishings in homes.
- Display a high degree of professionalism and integrity working with homeowners.
- Support Alys Beach Resort philosophy and help institute programs to ensure the effectiveness and promotion of this philosophy within the rental program.
- Provide insight related to unit owner’s monthly financial statements and reports on status of properties such as occupancy and rates.
- Resolve problems to ensure owner satisfaction.
- Participate in and support Alys Beach and EBSCO’s efforts towards sustainability and environmental initiatives as part of the Alys Beach program.
- Perform other tasks as assigned by the Director of Owner and Guest Services as well as other Senior Leadership at Alys Beach
- Coordinate onboarding process for new rental homes and condominium properties, coordinating with owners, Guest Services, Housekeeping and Town Operations departments.
- Work with owners and Town Operations when décor replacement items are needed.
- Assist in the contracting process for the rental program. Ensure complete familiarity with all contracts.
- Spearhead the annual report to owners detailing off-season maintenance projects, yearly results and recommendations.
- Act as liaison between rental homeowners and senior management.
- Manage maintenance in rental properties in accordance with direction from Town Operations management to include use of maintenance work order system, obtaining estimates from internal and external vendors, obtaining approval from owners as necessary, and follow through with owner until all items are resolved.
- Develop relationships with homeowners to provide maximum, personalized owner services.
- Respond to owner comments verbally and in writing to ensure proper attention to follow-up of all inquiries.
- Perform ongoing inspections for rental properties and report defects to the proper departments at Alys Beach, especially in advance of owner arrivals.
Job Requirements
- Requires a combination of desk-based work as well as field-based work in the rental properties.
- Bachelor’s degree from four-year College or university preferred; or three to five years related experience; or equivalent combination of education and experience.
- Excellent communication skills (written and verbal)
- Experience with Microsoft Excel, Word, Outlook, and other hospitality-related systems
- Must be able to occasionally lift up to 50 lbs. and be able to bend, stoop, squat and stretch to fulfill inspection duties as needed.
Essential Job Functions
- Maintain copies of certificates of insurance for all properties.
- Timely response to any owner
- Any other tasks as directed.
- Assist owners with owner portal access and financial questions.
- Complete familiarity with Alys Beach computer systems including, but not limited to, Rental Property Management system, Maintenance work order system and email systems.
- Careful adherence to Town Operations guidelines in inputting and updating work orders.
- Manage homeowner arrivals by making Owner and Owner Guest reservations, pre-arrival inspections and amenity placement.
- Further inter-departmental communication
- Understand and abide by the terms and conditions of the Alys Beach rental contract.
- Complete familiarity with Rental Management program to be able to discuss and onboard new owners.
Preferred Skills (desired SKILLS BUT NOT REQUIRED to perform the job. lIMIT TO 5)
- Previous experience at luxury-level or AAA 5-Diamond property
Knowledge of Maestro PMS system
