The Program Coordinator provides programmatic and administrative support to fellowship and leadership exchange programs, including recruiting and selecting fellows, supporting implementation of program components, administrative, operational, logistical tasks, and other program activities.

Your Background & Skills
- Familiarity with Microsoft Office products (Word, Excel, and PowerPoint), Office 365 products (Sharepoint, Teams, OneNote), Canva, Adobe Photoshop, Salesforce, preferred but not required.
- Experience monitoring program budgets preferred.
- Strong written and oral communication skills.
- Experience in coaching, advising, or other relevant leadership development work with young professionals preferred.
- Experience or familiarity managing large sets of data and conducting administrative tasks with attention to detail and accuracy.
- Experience with public speaking, presentations and/or training development and facilitation.
- Experience working in a multicultural and diverse environment; excellent interpersonal skills.
- International experience in or exposure, through work, study, volunteering, or family, preferred.
- You must have unrestricted authorization to work in the United States.
- Experience with procurement procedures and sub-award management, preferred.
- Excellent interpersonal skills, including empathizing, engaging, and managing conflict.
- Understanding of global political developments.
- Experience planning and managing events, including timelines and agendas, speaker outreach and preparation, media engagement, volunteer recruitment, and on-site staffing, preferred.
- 2+ years of relevant experience.
- Bachelor’s degree in international development, international education, marketing & communications, business, or related field.
- Experience creating marketing or promotional materials.
- Experience contributing to webinars and other virtual learning and exchange activities, and familiarity with learning management platforms, preferred.
- Ability to work well on a team, including eliciting and incorporating input, delegating tasks, and providing respectful feedback where appropriate.
- Experience using social media tools in a work environment to demonstrate success and impact.
- Experience or interest in entrepreneurship programming, leadership development, and international education or exchange.
- Speaking, reading and writing proficiency in English required.
- Experience developing and maintaining partnerships through outreach, and a track record of positive relationship development and collaboration with partners.
Your Daily Tasks
- Writes email templates, creates promotional materials, contributes to other external-facing communication, and provides guidance to team to support smooth relational communications as needed.
- Provide backstopping to financial transactions, processing, and budget tracking.
- Contribute to managing relationships, outreach, and follow-up with program partners and program participants.
- Provide guidance, support, and coaching to program participants as an IREX Advisor.
- Represent IREX and Leadership Practice interests both within and outside of IREX.
- Provide administrative and logistical support for all aspects of program implementation to ensure timely, accurate, and thoughtful completion of deliverables.
- Support program social media, communications, publicity, and outreach.
- Assist in creation, management, and facilitation of program trainings/workshops as needed.
- Assist in development of the application, review process, and implementation of program and alumni activities.
- Provide input and contribute perspective to team decision-making.
- Support outreach to prospective host organization partners and maintain relationships with current partners.
- Contributes ideas to Fellow Support and other program component strategic planning and program innovations.
- Provide administrative, logistical, and management support to support fellows, tracking, and maintenance.
- Write summaries of project activities and results including donor and other program reports.
- Collects success stories from participants and partners and liaises with communications team to support public outreach.
- Liaise with IREX’s travel agent to manage international and domestic flights for participants and Outbound Exchange awardees.
- Develop and share goals for professional growth with your supervisor and work together to identify opportunities for development and advancement.
- Provide support to procurement, subaward management, budget processes, and payments when needed.
- Support and lead components of the fellow support process, to include DS-2019 preparation and mailing, arranging travel for participants, distributing participant stipends, guiding and supporting the fellow support team and ensuring effective tracking and data management throughout pre-arrival process.
- Provide mentorship, guidance, and training to Program Associates and project interns.
- Lead the participant stipend process and other fellow payments with Finance team.
- Other support duties as needed.
- Track and analyze work plan activity progress toward project objectives and project indicator data.
- Create engaging program promotional and instructional materials, eliciting and incorporating feedback from internal and external stakeholders.
- Communicate with participants and external stakeholders about the program in a clear, professional, and friendly manner. Accurately answer questions about program requirements, expectations, and timeline.
- Liaise with housing vendor to support their work and to troubleshoot as needed.
