PRODUCTION COORDINATOR

As Production Coordinator, you will support the production team with the elements involved with producing experiential events. You thrive in fast-paced environments, possess a high level of professionalism and have a proactive approach to problem solving. You will be a key part of the production team, able to help coordinate timelines, logistics, and other duties.
The Production Coordinator will report to the Senior Production Manager. The salary band for this position is $65,000 to $75,000.
Role Priorities
Production Coordination: Coordinate logistics needs in a fast-paced event production environment, acting as a line of support to ensure crews are well informed with up to date information at all times. Create and distribute schedules for transportation, inventory, etc. Track project expenses. Update production calendar, contact sheets, staffing sheets, budgets and other documents as necessary.
Project Execution: Assist in the set up and maintenance of the production office. Distribute radios, credentials, petty cash and any other pertinent crew supplies. Ensure crew meals are set up and ready according to production schedule. Serve as the main point of contact for vendors as necessary. Manage Production Assistants and Runners on site. Quickly adapt to last-minute client demands.
Departmental Coordination: Manage Production Department’s vendor and freelancer trackers, research and schedule new vendor capabilities meetings, assist in onboarding vendors and freelancers across the department as needed, organize production documents and project folders.
Additional Responsibilities
- Source and contract vendors, building vendor relationships
- Participate in final budget reconciliation
- Manage and build client relationships
- Working on-site to ensure the seamless execution of every event
- Venue research, sourcing accessories and furniture for event décor
- Source and contract caterers
Qualifications
- Outstanding organizational skills and attention to detail
- Excellent proofreading and communication skills, both written and verbal
- Strong interpersonal skills both verbal and written, with high level of professionalism
- Ability to demonstrate a sense of urgency and act responsively
- 2+ years experience in production: sports, fashion, tours or live broadcast
- Proficient using the latest versions of Keynote and Microsoft package, including Excel and Google Sheets; SketchUp and Photoshop/InDesign skills a plus
- Willingness to travel
- Highly adaptive and proactive problem solving skills
- Ability to manage multiple projects simultaneously
- Knowledge in cutting edge technology and innovations as well as all aspects of live events including permitting, construction management, logistics, audio, video, lighting, fire and safety
