Who We Are


Habitat Restoration Sciences, Inc. (HRS) is passionate about helping our clients build native habitats. We are a full-service native habitat restoration and general engineering firm specializing in installation and long term management of natural areas. Our corporate office is located in Vista and our team provides restoration services throughout California.


HRS is a Dudek company. Dudek has provided its clients with environmental, permitting, planning, engineering, construction and operational services since 1980. We team with Dudek biologists, landscape architects and habitat restoration designers, engineers and hydrogeologists to provide a turn-key solution to native habitat restoration.


About The Job


HRS is seeking an energetic, detail-oriented, motivated individual to join our team. This role assists and supports a variety of Operations and Administrative functions – with a focus on safety, fleet and facilities projects. Strong attention to detail, organization skills and exceptional customer service skills required. Bilingual (English and Spanish) is preferred. This position interacts with Management, Field, and Corporate Staff.


This role will report to the Operations Manager. This full-time position will be based out of our Vista, CA office. This role is 100% onsite.


Duties and Responsibilities


Operations:


  • Assists with various data entry tasks.
  • Provides a variety of administrative and operational support to the corporate and field office.
  • Assists with ongoing projects and other administrative duties as assigned.
  • Works with HRS management to create documents, letters, spreadsheets, etc.
  • Assists with supporting the Field Operations including answering calls, emails, and coordination of field requests.
  • Provides facilities support to the Vista offices, which includes coordinating routine office maintenance.
  • Assists with fleet vehicle maintenance, including taking vehicles for routine maintenance, oil changes, repairs, car washes, etc.
  • May provide courier services.
  • Acts as back up to other office staff


Fleet and Safety Assistance:


  • General Fleet, Facilities and Safety Tasks – sending announcements and posting notices, tracking training dates, and other Fleet, Facilities, and Safety projects as needed.
  • Daily Audits: Responsible for conducting daily comprehensive tours of floor space, identifying defects, and taking corrective actions as required.
  • Vendor Management: Assist in managing the relationships with external vendors for facility-related services, such as janitorial, landscaping, and equipment maintenance. Schedule the work of vendors (such as HVAC, repairs, carpenters, electricians, plumbers, painters) and coordinate the work of contractors and vendors and conduct inspection once complete to ensure that quality of work meets company standards.
  • Health and Safety Compliance: In partnership with the Environmental, Health and Safety (EHS) Department, implement and monitor safety protocols and procedures to ensure a secure working environment for all employees and visitors. In partnership with EHS, conduct regular safety inspections, promptly address any identified issues.
  • Fleet Maintenance: Perform weekly company vehicle inspections for all vehicles in the Vista, CA fleet. Responsible for taking vehicles for routine maintenance (i.e. oil changes) and car washes. May assist with coordinating vehicle maintenance for other offices or project locations, as needed.
  • Grounds and Building Maintenance: Oversee janitorial/grounds service provider(s). Attend to the grounds, maintaining a clean, well-kept appearance to entryways and outdoor areas as needed.
  • Facility Maintenance and Repairs: Coordinate and oversee maintenance schedules, repair, and improvement projects for the Vista office and other office locations, as needed. This includes managing work orders, scheduling contractors, conducting inspections, and ensuring timely completion of tasks to minimize downtime.


Minimum Requirements


  • Minimum of 3+ years of experience providing administrative support to a mid-size company (including facilities, safety and/or fleet management).
  • Ability to lift up to 25 pounds.
  • Strong computer proficiency and working knowledge of Microsoft Office and the ability to learn new technology as needed.
  • High School Diploma or equivalent.
  • Flexibility to work overtime as needed and to occasionally work outside regular business hours for emergencies or special events.
  • Must possess a valid driver’s license and have active personal automobile liability insurance by first day of employment.
  • As a federal contractor, successful candidates are required to pass the following pre-employment requirements prior to beginning employment: pre - employment drug test and background check.


Preferred Qualifications


  • Ability to make minor repairs in facilities as needed.
  • Excellent problem-solving skills and the ability to perform under pressure.
  • Ability to maintain strict confidentiality regarding safety, HR and employee issues.
  • Bilingual in Spanish is preferred.
  • Associate’s or bachelor’s degree in Facilities Management, Construction Safety, Business Administration or related field.
  • Strong organizational and project management skills with an ability to handle multiple tasks simultaneously.
  • Dependable and a good professional working attitude.
  • Understanding of health and safety regulations and compliance standards.
  • Strong service orientation, self-starter and resourceful team player


Physical Requirements


Working Conditions:


  • This job requires occasional project site visits-based outdoors which can include excessive noise, uneven walking surfaces, extreme weather, moving vehicles and equipment.
  • This job operates in an office-based environment and this role routinely uses standard office equipment such as computers, phones, printers, etc.

Proposed Salary Range: $20.00 - $25.00 hourly*


  • Final agreed upon compensation will be based on a variety of factors including but not limited to an individual’s related experience, education, certifications, skills, and work location.
