Job Description
The Office Manager/ Executive Assistant provides high-level support to the Chief Executive Officer (CEO) and other members of the Executive Team.


  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Ability to plan, organize, prioritize, and execute sound judgement.
  • At least five (5) years of related experience required.
  • Keeps the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Organizes and prepares for meetings, including gathering documents and attending to logistics of meetings.
  • Attends meetings with, or on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of executive staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Ability to act with integrity, professionalism, discretion and to maintain confidentiality.
  • Provides high-level administrative support and assistance to the CEO and/or other assigned executive staff.
  • Must be able to lift up to 15 pounds at times.
  • Knowledge of and compliance with HIPAA standards.
  • Oversee and support all administrative duties at the Corporate office location
  • Excellent organization and time management skills.
  • Proficient with Microsoft Office Suite and related software.
  • Excellent analytical and problem-solving skills.
  • Strong interpersonal and communication skills to effectively communicate with executive and other senior staff.
  • Performs office tasks including maintaining records, ordering supplies
  • Performs other related duties as assigned.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Assist with office layout planning, office moves, and other infrastructure/equipment needs
  • Perform receptionist duties as needed; greeting visitors and directing phone calls
  • High School Diploma required; Bachelor’s degree in Business Administration or related field preferred.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents.
  • Arranges travel and accommodations for executives.
  • Responsible for planning and execution of special events
  • Ability to work full-time, on-site at the Corporate Office.
