Job Description

Somos Group, located in the Bradbury building in DTLA, is currently hiring a Legal & Office Assistant. This is a full-time, in-office position. Responsibilities include both legal assistant tasks and office assistant tasks.

Legal Assistant tasks include:

  • Prepare check requests, expense reports and book travel arrangements, coordinating payment to vendors when necessary.
  • Enter time for timekeepers, working closely with attorneys to prepare billings for submission for invoicing.
  • Prepare files and/or binders for hearings, presentations, meetings
  • Submit attorney expenses.
  • Scanning, data entry and logging case documents into electronic document management system
  • Maintaining case and client files including uploading electronic files to a document management system.
  • Maintain high level of confidentiality as to law firm and client business matters.
  • Representing attorneys by communicating on their behalf and obtaining information, following-up on delegated assignments, and knowing when to act and when to refer matters to attorneys
  • Manage multiple attorney calendars by using Outlook calendars to schedule appointments and meetings
  • Provide overflow assistance as requested from San Francisco office.

Office Assistant tasks include:

  • Maintain inventory of office supplies and office snacks

·Provide support to Office Administrator

·Maintaining common office areas

·Perform general administrative tasks, such as handling email, faxes, files, mailings, and deliveries; and coordinating meeting-room calendars.

·Provide ad hoc support to staff members and departments, including organization of on-site and off-site team events.

·Primary administrative support to the San Francisco office.

Qualifications:

·Excellent written and verbal communication skills.

·Strong time-management and multitasking abilities.

·Proficiency with common office applications such as Microsoft 365 Suite, Adobe, Window, Excel, PowerPoint.

·Ability to juggle numerous projects with various deadlines at one time.

·Project management skills a plus.

·Familiarity with legal billing & time tracking software is a plus.

Salary is commensurate with experience.
