POSITION SUMMARY:
This role would serve as an entry level position that would introduce the candidate to both sides of PD&A by providing support to both Prospect Management and Prospect Research. Additionally, this role would support the Director with operational and programmatic tasks like department budgeting, subscription management and department scheduling. This candidate would be trained in both Prospect Research and Prospect Management systems which would enable them to pivot and assist either team with basic tasks when there is an influx of Prospect Development requests.
Data Science industry best practices estimate that 40-60% of a data professional’s time should be spent working with the data to prepare and clean it. Current workloads prevent Prospect Management and Prospect Research from spending more than 10-20% of their time on these proactive data hygiene tasks, with 80-90% of the time spent responding to reactive requests. This role would be trained on basic AQ tasks and would be able to assist with the execution of data hygiene responsibilities when the Prospect Management team has time sensitive updates to make to portfolios. The team has set up a series of prospect research and management audits to occur over the course of the year to ensure proper data hygiene. This role would support and implement the ongoing review of these reports to ensure data cleanliness.
As PD&A continues to expand in proportion with USF’s Development staffing increases, the PA IV: PD&A Assistant role would serve as a pipeline to create qualified candidates for either the PA V: Prospect Research Assistant or the PA V: Prospect Management Assistant roles. This position would be an important part of creating a professional growth plan in PD&A.
Job Responsibilities
- Upload, review and assign prospect research tasks for gift report research in the $100-$499 reports and the $500 reports.
- Assist in the distribution of event research dossiers to the Division.
- Coordinating and inputting relationship mapping to increase engagement among the low and medium likelihood donors.
- Oversee the audit report calendars for both Prospect Research and Prospect Management, providing assistance with reviewing results and updating records.
- Review and code records for interest codes to improve area specific fundraising.
- Provide basic prospect research and data entry support to the Prospect Research team including updating of biographic, employment and contact information.
- Provide data entry support to Prospect Management including updating assignment information and bulk activity report uploads.
Outcomes
- Interest Coding: Reviews research notes and enters Interest Codes for prospects, starting with assigned prospects and working through the database.
- Data Entry Support: Basic data entry support will enable the Prospect Research team to quickly turn around the verification of wealth screening results from incoming Parents, DonorSearch results and the Marts & Lundy capacity analysis. This assistance will create a greater number of qualified prospects for gift officers to begin working with immediately.
- Gift Report Research Support: Allows the Prospect Research team to quickly work on the records that should be updated. Provides a faster capacity assignment process so the Prospect Management team can have a pool of prospects for assignment to the Annual Giving and Major Gift Officers.
- Audit Calendars: Learns best practices and data hygiene with Prospect Management and Prospect Research when reviewing results with Assistant Directors.
- Event Research: Provides support to the Prospect Research team in the creation and distribution of event research. The work in this area will relieve the student interns in the VP Office from providing employment updates for each USF-hosted event, even when the President is not attending.
- Biographic Updates: Relieves the Prospect Research team from having to update multiple areas of a record when doing research. The team can assign the PD&A Assistant tasks to update contact fields like LinkedIn, contact information, employment updates and connect family members.
Qualifications:
- Training or experience equivalent to 3 years of increasingly responsible work experience in a support role or related education.
- Four years of increasingly responsible experience in administrative support work or related education, including at least two years in a senior administrative support role.
- Post high school education is preferred.
- Ability to maintain effective relations with the campus partners, including students, faculty and staff.
- Familiarity in working with CRM databases including or adjacent experience working with computer database systems, word processing and spreadsheet software.
- Ability to prioritize tasks, manage time, and anticipate problems, with an emphasis on customer service and teamwork.
- Must be organized and able to work on many projects at the same time.
