Job Description

The Manager Clinic Administrative Services provides administrative oversight and management of day-to-day business operations of multiple hospital outpatient clinics and/or revenue/cost centers. In concert with other administrative and clinical leadership, proactively promotes adherence to established policies and quality standards, patient satisfaction, staff productivity and accountability, and timely, efficient, and effective business operations. Oversees the day-to-day performance of 10 or more clerical and administrative staff. Areas of oversight include admitting/registration, scheduling, patient estimates and time-of-service collections, health information management, facility charge management, third-party payer relations, insurance verification and procedural pre-certification/authorization. Interacts and collaborates with both hospital and physician enterprise operations teams and leaders to fulfill job responsibilities.
Bachelor’s degree in business or healthcare management strongly preferred, with at least 5 years of ambulatory clinic or hospital outpatient operations and management/supervision of staff required.
  • Oversees general office operations including supply ordering, MFDs, facilities maintenance and basic environment of care.
  • Functions as a member of the management team. Assists leadership with decision-making, clinic operations, budget preparation and adherence to departmental, hospital and health system goals.
  • Oversees pre-certification/pre-authorization processes to ensure timely review and problem-solving prior to patient scheduled encounters.
  • Maintains knowledge of general business operations, managed care issues, billing and coding processes and the ability to resolve related problems for improved reimbursement.
  • Other duties as assigned.
  • Leads recruitment and hiring process for positions under direct supervision following established protocol.
  • Promotes employee engagement and mission mindfulness in the clinic setting.
  • Manages timekeeping and time-off requests for direct reports utilizing Kronos and Workday. Completes PMPs (periodic performance management) in Workday for supervised staff.
  • Regularly evaluates business operations (i.e. registration, insurance verification and cash posting) to determine the integrity of data input. Promotes accuracy and involves employees in improvement of services.
  • Performs or oversees reconciliation of clinic financial transactions and daily deposits and ensures appropriate segregation of duties therein.
  • Ensures staff are trained appropriately for their assigned tasks.
  • Provides guidance, disciplines, coaches and serves as advocate for the growth and development of staff.
  • Oversees the process of facility charge accumulation and entry into EPIC. Works with Revenue Integrity/Charge Audit departments to ensure accuracy and compliance.
  • Gathers and reports monthly and annual data for fiscal, statistical and planning purposes.
  • Supervises multiple non-clinical business support staff.
  • Assists with updates to call and/or other coverage schedules in Amion.
  • Assists in establishing and implementing goals, objectives, policies and procedures and efficient workflow for the operations managed.
  • Establishes and maintains processes that promote patient satisfaction. Addresses/resolves non-clinical patient complaints and concerns.
  • Communicates with staff members regularly (through ongoing presence in clinics, one-to-one meetings and staff meetings.)
  • Creates and/or modifies daily work plans, determines work priorities and develops work schedules to ensure adequate coverage of front and back-office areas.
  • Manages EPIC scheduling templates for clinics/departments.
  • Maintains a solid understanding of third party and government payer guidelines and time-of-service payment expectations (for both SLH and SLPG) and develops and implements protocols accordingly. Keeps abreast of changes and communicates to staff, as appropriate.
