Job Description

USmax Corporation is seeking an Administrative Assistant to join our team supporting USAID’s Office of Security (SEC).

The Administrative Assistant provides general support for meeting coordination, managing calendars, general administrative tasks, and providing customer service to diverse stakeholders.

Duties and Responsibilities:

  • Manage the calendars of the Director and Deputy Director.
  • Systematically evaluate and improve correspondence operations in for an extensive organization with varying functions performed in subordinate offices.
  • Determines, using personal initiative and discretion, which organizational segments should handle technical mail and correspondence.
  • Coordinate meetings, events, and other similar activities
  • Use established control records on incoming correspondence and action documents following up on work in progress to ensure timely action.
  • Utilize information technology hardware routinely used in an office setting, to include copier machines, scanners, fax machines, shredders.
  • Maintain the scheduling of the conference room.

Required Qualifications:

  • Highly organized, efficient, and detail oriented.
  • Demonstrated ability to communicate cross-culturally (both verbally and in writing) complex technical issues to generalist audiences.
  • Must have a working knowledge of administrative and customer service support.
  • Ability to problem-solve and work in a complex, fast-moving environment, including coordinating with field locations.
  • Excellent communication, including strong verbal, writing, and editing skills.
  • Proficiency in use of computer programs: Microsoft Office (Word, Excel, PowerPoint, SharePoint, Outlook), email, and proven internet research skills.
  • Ability to meet deadlines and be efficient in accomplishing assigned tasks relating to administrative duties.

Physical Requirements:

  • Must have 20/20 vision with corrective lenses if necessary
  • Must have dexterity in both hands

Must possess an active or interim Secret clearance to start, with the ability to obtain a Top-Secret clearance.
