Job Description

The Legal Services Coordinator position will provide administrative, clerical, and office support and act as the liaison between the company, its internal and external business teams, and the legal department.


SUPERVISION RECEIVED AND EXERCISED

Receives direction from and reports directly to Paralegal II


ESSENTIAL JOB FUNCTIONS

Essential duties may include but are not limited to the following:

  • Receive, review, and file/forward incoming correspondence as appropriate. Maintain filing system, including scanning, closing, and shredding/destroying of paper and electronic files.
  • Provide other administrative duties as otherwise required or needed
  • Provide a wide range of general administrative duties in direct support for the Office of General Counsel
  • Manage and maintain schedules, and calendars, and answer telephone calls (including responding to routine requests, determining whom the appropriate attorney or personnel is for a particular matter, determining when calls require immediate escalation, making and returning calls, as needed, managing some calls independently).

· Assist with accounting and billing, including maintenance of the legal invoice tracker and preparing legal invoices for processing.

· Coordinate travel arrangements, as needed.


Legal Department Responsibilities

· Complete periodic audits of the department to identify redundancies and track productivity for future resource needs. Provide reporting from the contract management system, as needed.

  • Responsible for ensuring documents are properly executed.
  • Manage contracts email account and respond to general requests including requests from business teams for copies of contracts that are filed in the repository/document library
  • Assist with the archiving, uploading, and storage of electronic and paper contract files

· Proof, draft, and finalize various correspondence, legal documents, and presentations.

· Gather essential information from team members to develop PowerPoint presentations that are relative to the department projects.

  • Collaboratively manage and prioritize workflow to ensure key performance indicators and service standards are met.

Food Safety & Compliance Responsibilities

  • Send email notifications for Steritech Coaching Evaluations
  • Maintain Store Status File
  • Review Steritech monthly invoice for accuracy
  • Update Store Status File with any updates to Zax LLC RM/DM regions
  • Send Store Status File updates to Steritech
  • Update Store Status File with any updates to Operation Consultant regions
  • Send email notifications for New Store Announced Steritech Assessments
  • Process approved Steritech new user requests; add to alignment file; notify Steritech and new user with instructions for logging in
  • Send email notifications for Steritech NAR Training Requests
  • Update Store Status File with new stores and notify Steritech


QUALIFICATIONS

  • Ability to maintain the highest degree of confidentiality regarding all aspects of work at all times
  • Excellent communication skills; both written and verbal
  • Outstanding interpersonal skills and telephone etiquette
  • Extremely detail-oriented and able to successfully multi-task
  • Ability to work long hours, as needed
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent documentation skills
  • Ability to work independently as well as with a team
  • Project management skills with the ability to manage multiple priorities in a fast-paced work environment desired


EDUCATION AND EXPERIENCE GUIDELINES

  • Experience: 5+ years of experience working in a law firm or the legal field and/or providing high-level executive support
  • Education: Bachelor’s degree in Business Administration or related field; or equivalent combination of education and experience


STANDARD HOURS

Monday – Friday

8:00 AM – 5:00 PM


REMOTE WORK ELIGIBILITY

Hybrid work, 3 days in office, 2 days remote based on needs of the position.


TRAVEL REQUIREMENT

Less than 25% required
