Job Description

Legal Secretary - Marin County, California


LHH has partnered with the Marin County branch of a prestigious full-service law firm with multiple offices throughout the State of California to help fill an open Legal Secretary position. We are seeking a highly skilled and experienced Legal Secretary to provide essential administrative support to a thirteen-attorney team, ensuring the smooth operation of the firm's practice areas, including labor and employment law, education law, bankruptcy, general civil litigation, and transactional law. This position offers an exciting opportunity for individuals with strong administrative skills and a passion for the legal field to thrive in a dynamic and rewarding environment.


Location: Marin County, California (On-Site)

Position: Legal Secretary


Responsibilities:

  • Provide comprehensive administrative support to attorneys, paralegals, and administrative management.
  • Draft, proofread, and format legal documents, including correspondence, pleadings, memoranda, emails, and other legal forms, with accuracy and adherence to firm standards.
  • Prepare and process expense reports, time entries, and billing information as required.
  • Manage the master calendars, ensure important dates are recorded, and send reminders to ensure timely compliance with deadlines.
  • File legal documents with various Administrative, State, Federal, and Appellate courts, electronically or in person, and handle service of process as required.
  • Manage document filing, organization, and retrieval utilizing document management systems.
  • Maintain and update attorney calendars by calendaring and scheduling court appearances, deadlines, meetings, and other appointments.
  • Maintain confidentiality and handle sensitive information in a discreet and professional manner.
  • Arrange for attorney travel and accommodations as required.


Qualifications:

  • Familiarity with document management systems, such as iManage, and their practical applications in a legal setting.
  • Ability to transcribe legal documents from dictation.
  • Must be proficient in Microsoft Office applications (Excel, Word, PowerPoint, and Outlook).
  • Proficiency in utilizing office equipment, including computers, transcription devices, fax machines, and advanced features on photocopiers.
  • High school diploma or its equivalent is required; a bachelor's degree is preferred.
  • Ability to use Adobe software for redactions, edits, and formatting of legal documents.
  • Minimum of 3 years of experience as a legal secretary in the areas of education, litigation, transactional, or bankruptcy law.
  • Ability to type at least 70 words per minute (WPM) with high accuracy.

  • Strong organizational skills with exceptional attention to detail.
  • Strong interpersonal skills with the ability to communicate and collaborate effectively with attorneys, support staff, clients, and external parties.
  • Excellent verbal and written communication skills.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Demonstrated knowledge of and ability to stay current with legal terminology, processes, procedures, and rules.


Compensation:

  • $70,000 to $92,000, depending on experience.
