The Legal & Compliance Operations Coordinator is responsible for performing legal and business administrative operations and related support functions in the Legal & Compliance (L&C) department. This position will proactively work with the L&C team, Executive staff, and agency employees.

WHAT YOU WILL DO:


Operations Support

  • Supports management of L&C projects and strategic initiatives.
  • Responds to requests for information from outside counsel, in-house counsel, and Attorney General.
  • Conducts statistical, documentary, and investigatory research.
  • Monitors and assists in preparing the department operating budget, including assisting in drafting initial budget, projecting future budget needs, and reviewing and processing budget and purchasing related documents.
  • Organizes and maintains L&C files and filing system data.
  • Compiles data and prepares periodic reports on L&C departmental performance.
  • Maintains outside counsel engagement and other L&C contract files, including all contracts and invoices, and processes bills and invoices for payment in coordination with other TRS departments and relevant agencies.
  • Oversees and reconciles L&C expenditures and provide monthly financial and budget reports.
  • Prepares synopses and summaries of complex legal issues.
  • Oversees invoicing process for outside counsel, including reviewing all invoices and ensuring compliance with outside counsel contracts, preparing invoice documentation and transmittals to the Attorney General’s office and general accounting, and monitoring payment status.
  • Drafts, edits, prepares, and proofreads legal correspondence and other documents; including contracts, legal briefs, and other related legal documents.
Administrative Support
  • Provides back-up assistance to other legal support staff and assists with special projects as assigned.
  • Maintains and updates subscriptions, memberships, and law library publications.
  • Assists in developing, revising, implementing, and communicating L&C processes and procedures.
  • Provides general office administrative support, including, but not limited to: answering and routing telephone callers, scheduling meetings and appointments, making travel arrangements, preparing travel and purchasing forms and documents, timekeeping, sorting and distributing incoming and outgoing mail, copying, and faxing.
Performs related work as assigned.


WHAT YOU WILL BRING:

Required Education
  • Bachelor’s degree from accredited college or university.
  • High school diploma or equivalent and additional full time legal operations, business operations, legal secretary, legal assistant, paralegal or related experience may substitute for the required education on a year for year basis.
Required Experience
  • Four (4) years of progressively responsible experience as a legal operations specialist, business operations specialist, legal assistant or paralegal.
Required Registration, Certification, or Licensure
  • Certified Texas Contract Manager (CTCM) must be obtained within twelve months of employment if not already certified.
Preferred Qualifications
  • Five (5) years of progressively responsible experience as a legal operations specialist, business operations specialist, legal assistant or paralegal.
  • Experience providing legal or business operations, contract management, and/or project management support in a legal environment and/or a Texas state agency.
Knowledge of:
  • General office management practices and procedures, including accounting.
  • Related legislative and legal practices and procedures.
Skill in:
  • Planning, organizing, and prioritizing work assignments to manage a high-volume workload in a fast-paced and changing environment, and completing detailed work with a high degree of accuracy.
  • Organization and attention to detail.
  • Using travel software, such as Concur.
  • Using a computer in a Windows environment with word processing, spreadsheet, presentation, database, and other business software to prepare correspondence, spreadsheets, reports, and other documents.
  • Effective verbal and written communication, and the proper use of grammar, spelling, and punctuation.
  • Analyzing problems and devising effective solutions.
Ability to:
  • Work effectively in a professional team environment.
  • Establish and maintain harmonious working relationships with co-workers, agency staff, and external contacts.
