THE ROLE: We are a nationally recognized labor and employment law firm, and we are seeking a talented individual to fill the position of Office Coordinator/Legal Secretary in our Washington, DC office. As an experienced and dynamic team, we offer efficient and practical solutions to today's labor and employment law challenges.
In this role, the Office Coordinator will work under the guidance of the Office Manager to provide secretarial and administrative support to attorneys, ensuring the delivery of high-quality legal services to our clients. This position requires collaboration and cooperation within a team-oriented environment, as well as providing administrative support to the office management function. RESPONSIBILITIES/OFFICE COORDINATOR: Collaborate with building management on day-to-day matters, including building security, HVAC, emergency preparedness, and tenant-related issues. Coordinate the procurement of routine office supplies and concessions from approved vendors. Manage daily mail sorting, both incoming and outgoing, and arrange for courier and messenger services as needed. Collaborate with the IT team to address any technical issues that may arise in the office. Maintain schedules and set up conference rooms and visitor offices, while also handling catering requests for client and other meetings. Assist in organizing coverage for planned and unplanned staff absences. Support trade show planning and logistics, and provide general assistance with business development activities. Assist with the onboarding and integration of new staff and attorneys. Update office procedure manual as necessary. Perform additional office administrative duties as assigned. RESPONSIBILITIES/LEGAL SECRETARY: Draft and format correspondence, briefs, and other legal documents. Review and ensure accuracy of vendor invoices, ensuring timely submission of invoices and check requests. Accurately enter, review, and revise timesheets. File court documents accurately and promptly, adhering to federal, state, and judge-specific requirements. Proofread all documents to ensure accuracy and completeness. Maintain and follow up on attorney-client deadlines and calendar appointments using electronic calendaring and docketing systems. Maintain updated client files, both physical and electronic, in compliance with office policies for file management and recordkeeping. Participate in the timely review and submission of pre-bills and/or client bills. Coordinate travel arrangements for assigned attorneys and process expense reimbursements promptly. Perform additional legal secretarial duties as assigned. REQUIREMENTS: Minimum of 3 years of experience as a legal secretary and 5 years of experience in a legal or professional services firm. Advanced proficiency in Word, Excel, PowerPoint, and Outlook (2010 or above). Ability to develop, implement, and maintain organizational systems to promote efficiency. Ability to apply and communicate knowledge of client-specific billing guidelines and restrictions. Adaptability to handle fluctuations in workload and changes in responsibilities. Working knowledge of court e-Filing requirements (e.g., Pacer, ECF). Working knowledge of general accounting procedures. Demonstrated strategic thinking, problem-solving, and decision-making skills. Excellent verbal and written communication skills. Punctuality and dependability in meeting work and meeting attendance requirements. Strong customer service orientation, promptly responding to attorney and client requests for assistance. Professionalism in approaching others with tact and respect, and ability to perform well under pressure. Team player mentality, contributing to a positive team spirit and maintaining a positive "can do" attitude.
