Job Description

Meeting Planner / Meeting Space Sourcer - Long Term Contract - possible temp to hire

  • $30.00 to $35.00 per hour.
  • PART TIME 2-3 full days
  • Hybrid, but they need to be local to DC and will need to go into the office from time to time.


Job Summary:

The Contractor Planner / Sourcer is the liaison between the Corporate Meetings Committee and Vendors / Hotels / Convention Centers.


Essential Job Functions:

  • Create food and beverage plans for committee meetings.
  • Wide based knowledge of Cvent (vendor supplier sourcing, registration, reporting, budgeting).
  • Manages meeting logistics and on site operations of assigned projects. Committee meeting coordination of rooming list, menu development and banquet event orders, on-site management, budget reporting and post conference expenses and payment.
  • Source meeting space from Hotels and Convention sites for off site Hearings.
  • Ability to negotiate contracts and knowledge of hospitality legal terms.


Other Responsibilities:

  • Meetings (American Express) Card Reconciliation
  • Invoice Reconciliation and forecasting reports to finance
  • Web-casting and Multi Casting
  • In depth knowledge of audio visual equipment
  • Creating PSA and Task Orders
  • In depth knowledge of caterers and conference centers


Education/Experience Requirements:

  • Independent to work onsite at conferences.
  • Proficiency using a PC with Microsoft Suite
  • Some travel may be required to DC, Rockville, MD and New York City Officdes
  • Comprehensive knowledge in contract negotiations and background on registration systems a plus.
  • The ability to implement projects independently and work with various departments as a team is absolutely necessary.
  • Vacation Black-out dates week prior and over Annual Conference (May)
  • Knowledge of CVENT databases.
  • College degree or equivalent and three (3) years of experience in meeting management or hospitality experience. CMP preferred.
