Position Description


The primary purpose of this job is to provide HR support to the site in two or more functional areas of human resources including staffing, on-boarding, benefits and employee relations, as well as assists in driving HR initiatives and projects. Demonstrates Viant Values.


Position Authority


The HR Assistant reports to HR Manager and will be under general supervision and will assist in addressing situations/solutions in a fluid environment. The scope of problems/concerns that HR Assistant will assist with will not be complex. Progress is reviewed with the HR Manager. HR Assistant receives autonomy/authority from HR Manager and is accountable to the HR Manager for the successful completion of assigned duties and responsibilities.


Essential Job Functions


  • Tracks and analyzes site HR metrics (i.e. time to fill, offer to acceptance, acceptance to start, etc.), presents observations, evaluates trends and makes recommendations. Participates in projects related to improvements.
  • Sets up and maintains new hire files, medical files, background / EEO and training files.
  • Coordinates on-boarding from candidate acceptance to start. Processes new hire paperwork ensures it is submitted timely and accurately to payroll, benefits or within Dayforce/ Ceridian. This includes verification of right to work through E-verify.
  • Supports the recruitment process by assisting in posting job openings on external career sites and internally, sourcing and screening applicants and updating applicant tracking systems. Works with receptionist to coordinate on site interviews for a positive candidate experience. May schedule interviews.
  • Organizes and carries out general administrative tasks as needed such as filing, tracking of performance evaluations, training forms, sign on bonus payments, employee referrals, distribution of announcements, gathers and sends required documents in response to claims for unemployment, requests for files, internal audit requests, etc.
  • Primary contact at site for payroll related matters for Associates and Managers, escalating issues when needed.
  • Supports Associates and management in the areas of benefits, wellness, disability, workers compensation and leave of absence. Files initial WC claims, track site leave of absence / return to work and assist in evaluating return to work, restriction and request for accommodation as well as developing correspondence around these issues in an effort to gain clarification. Schedule fit for duty evaluations as required.
  • Engages in HR projects as needed.
  • Performs other functions as required.


Knowledge And Education


  • Bachelor’s degree in a Business, Human Resource or Relevant degree preferred.


Job Experience


  • Effective verbal and written communication skills.
  • 1 to 3 years’ related office experience; at least 1 year in a human resources department.


Skills And Competencies


  • Ability to foster a culture of diversity, inclusivity, collaboration and teamwork.
  • Basic knowledge of State and Federal Labor Laws (i.e. EEO, FMLA, Wage & Hour) required.
  • Ability to multi-task matters and prioritize work accordingly.
  • Bilingual (English and Spanish) a plus.
  • Exceptional organizational skills.
  • Basic interviewing and training/presentation skills needed.
  • Strong interpersonal communication skills.
  • Detailed oriented.
  • Demonstrated competence with HRIS, Microsoft Word, Excel and Outlook, and PowerPoint.

Physical Requirements


  • Light physical activity performing non-strenuous, day-to-day activities of a primarily administrative nature.
  • Moderate lifting (20 lbs.), carrying (10 lbs.), bending, and prolonged sitting.
