Provide moderate level effective HR administrative support to a diverse range of Programs, ensuring that all employees within these programs are paid correctly, on time and that all related HR matters are dealt with promptly. Works closely with programs to gain feedback on how to improve the relationship with HR. In Dubuque this position also acts as conduit between the company, the customer, and the plants, ensuring customer satisfaction and resolving issues favorably for both the company and the customer. Provides administrative and clerical services to ensure effective and efficient administrative operations
- Arranges the shipping of any samples required by new customers; generates sample orders and invoices for proper flow through the system.
- Partner with departments on determining internal customer needs, finding HR solutions to solve problems successfully.
- Responsible for the HR function between facility, third party administrators, and corporate office.
- Obtains customer W-9 certificate and credit application, completes customer fact sheet, and submits documents to Credit Manager for approval and credit limit.
- Assist with the training being accomplished by supervisors, leaders, and managers for their position in executing their duties in HR related matters, such as, merit increases and performance management.
- Process termination of employment by notifying Corporate Benefits and Payroll.
- Liaison between company and customer for ordering issues.
- Partner with departments on hiring needs, be liaison for successful posting, hiring, and orienting new team members.
- Assist Corporate Benefits with annual Open Enrollment.
- Support a variety of employment / HR activities for the designated program(s).
- Work well within a team, assisting to develop effective teamwork.
- Manage work to meet deadlines often under tight time frames and assisting team members as and when required.
- Takes on HR issues to find resolution.
- Completes and submits the Detailed Product Listing (DPL) and Bill of Materials (BOM) to appropriate departments for the customers and their respective items to be set up in the system
- Update Personnel records and ensure the documentation is appropriate and up to date.
- Be the point of contact for managers and employees, as needed regarding employee relations issues.
- Create and maintain HR files and update the information system in accordance with Standard Operating Procedures.
- Ensure all the new hires are enrolled in benefits
- Ensure execution of corporate HR programs such as benefits enrollment, merit increases, management incentives, performance management and community service activities.
- Answer phone calls, emails, help answer questions for employees about specifications, schedules and orders, set-up shipping for customers, and print labels for customer orders.
- Performs other duties as assigned.
- Works with Finance for chargebacks.
- Processes RA including determining where to have product returned to, approval process of the RA, returns/credits, processing through the system, and tracking discrepancies of returned inventory vs deduction.
- Conducts in-depth research on product availability and out-of-stock issues.
- Receive purchase orders any other customer, print specs for the floor, communicate with customers when orders are ready to be picked up, quote/cost parts for customers, and file paperwork.
- Manages process flow for new account set-up.
- Duplicates and distributes materials
- Composes types and edits correspondence, reports, memoranda, and other material
- Interacts with sales by providing customer feedback. Monitors and follows up on all internal paperwork to effectively communicate any changes in existing customers’ programs such as price changes, event allowances and mark downs.
- Develops and maintains office forms and procedures; assists with administrative tasks
- Manages record retention for area of responsibility
- Receives and responds to questions, in person and by telephone; responds to inquiries from employees, customers, vendors and others and refers, when necessary, to the appropriate person or department
- Prepares outgoing mail; sorts and distributes incoming mail
- Manages month-end close processing.
- Performs data entry including 10-key utilizing applicable systems and programs
- Tracks and monitors shipments and invoicing for assigned accounts.
- Maintains office supply inventory.
- Logs missed sales.
- Operates office machines as required
- Answers central telephone system and directs calls accordingly
- Other duties, as assigned.
Knowledge & Skills
- Professional speaking ability.
- Ability to organize and prioritize multiple work assignments, work with little supervision, and work well under pressure.
- Experience working in a manufacturing-oriented environment.
- Excellent attention to detail.
- Knowledge of Human Resources functions.
- Excellent computer skills required including proficiency in MS Office Suite.
- Willingness and ability to work effectively in a team environment.
- Automated inventory control system experience a plus.
- Strong written and verbal communications skills.
Experience & Education
- 1 year of experience in Human Resources environment
- High School Diploma or GED required
- Associates Degree in Human Resource Management preferred,
- A minimum of 1 year office experience
Physical Requirements/Working Environment
- Normal working conditions with controlled temperature and lighting. All employees are expected to perform their work in a safe manner, and to report an unsafe condition immediately, and may be asked to regularly lift 25 lbs.
