This critical Administrative Assistant role at FIFA26 Inc., the US subsidiary for the delivery of the FIFA World Cup 2026™, is responsible for providing executive-level administrative support, operational coordination and project management assistance to the Chief Operating Officer (COO).
The role reports organisationally to the FIFA26 Inc. COO and acts as a focal point of the office of the COO for both internal and external bodies for FIFA26.
These are your key tasks:
- Handles COO's business trip requirements such as flight itinerary confirmation, hotel, airport and ground transport requirements, security and protocol assignment, program and agenda of the event/meetings, accreditation requirements, visa and vaccinations, travel authorization application and approval, etc.
- Maintains accurate, comprehensive and accessible manual and electronic filing systems
- Prepares, proofs and formats documents, submitting communications on the COO's behalf
- Acts as the first point of contact for all internal and external colleagues and stakeholders
- Perform other tasks that may deemed necessary to provide executive level management support
- Manages and prioritises the COO's calendar, arranging appointments and responding to invitations. Works closely and effectively with the COO to keep him well informed of upcoming commitments and responsibilities
- Attends seminars, events, meetings as required and takes Minutes of the meeting. Coordinates preparation of the Minutes, facilitates approval by the COO and distributes to the relevant attendees
- Manages a database of important contacts including FIFA, FIFA26, members of FIFA World Cup governance bodies, hosting Member Associations, Host Committees etc.,
- Composes, distributes and responds to incoming mail. Creates, formats and progresses memos and letters, relaying key messages to the COO efficiently and accurately from internal and external sources
- During the absence of the COO, whether business related or personal in nature, supports the person delegated to act on the COO's behalf, ensure delegation of authority is issued
- Arranges meetings, secure agendas, sends notices/reminders to attendees, books appropriate meeting space and ensures the venue is fully equipped, organizing catering when necessary
The specific competencies we require for this position are:
- Proficiency in Spanish and French is an asset
- Knowledge on event planning and event project management processes in the Sports environment an advantage
- Multi-cultural environment awareness
- Typing speed of minimum 40 words per minute
- Knowledge on diplomatic protocol
- Degree in Business Administration or Communication Management
- Leadership and management skills
- Strong IT skill including MS Office (Word, Excel, Visio, Power Point) and Social Media web platforms
- Minimum 8 years experience as administration/administrative coordinator or similar role in high-level executive support
- Fluent in English
- High level understanding on confidentiality and sensitive information
