Job Description
General Description of Duties

Under administrative direction, the purpose of the position is to assist the Facility Superintendent with the overall management and operations of the sports facility assigned on a day-to-day basis. Coordinate the organized usage of County sports facilities. Employees within this classification perform at the supervisory level; and is responsible for providing a safe recreational environment for community programs, youth activities, professional and amateur sports, and special events provided by the County.

Essential Job Functions

The list of essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification. It is not necessarily descriptive of any one position in the class. The omission of an essential function does not preclude management from assigning duties not listed herein if such functions are a logical assignment to the position.
  • Provides guidance and leadership to all staff to execute successful games and special events.
  • Performs a variety of administrative support functions, e.g., attends meetings; processes reservations and league information; generates reports; documentation verification; gathers, interprets, and prepares data for reports and recommendations; provides information to supervisor; prepares reservation contracts and agreements; accepts payments for reservations; assists with budget functions; accounting for revenue and expenditures.
  • Leads and supports staff and organizers to ensure special event set-up and preparations are complete.
  • Assists in the development and monitoring of the annual budget and researching new operating methods and procedures.
  • Performs duties as assigned/necessary which are related, or logical in assignment to the position.
  • Researches and develops new initiatives, and technology to improve service, enhance revenue, and realize system-wide opportunities.
  • Coordinates with game day officials to ensure their needs are met.
  • Collaborates with Experience Kissimmee and Central Florida Sports Commission to procure and execute successful athletic events;
  • Plans and facilitates athletic programming and scheduling for the community including, but not limited to professional and amateur games/tournaments, sports leagues, programs, clinics, special events, facility and league scheduling, coaching/officiating seminars, and other related duties as assigned.
  • Performs a variety of record-keeping duties; manages and maintains program or league record-keeping, filing systems, and relevant materials.
  • Administers and monitors established contracts with service providers.
  • Develops cooperative relationships/partnerships with area schools, non-profit organizations, business leaders, community organizations, leagues, coaches, parents, and children.
  • Clarifies and resolves complex problems spanning multiple areas.
  • Works collaboratively with organizers and staff who use the facility, and to schedule events and keep the facility in good order.
  • Develops and reviews recommendations regarding short-term and long-range programs and projects.
  • Maintains all records and coordinates collecting of league fees, obtaining waivers and rosters, and game statistics as needed.
  • Assists with the recruitment, training, supervision, and evaluation of employees including part-time event personnel.
  • Collaborates with operational and maintenance staff to coordinate field usage, maintenance, repairs, and other improvements.
  • Ensures facility maintenance schedule is followed, and coordinates the setup, cleanup, and security of the Complex for all athletic activities to ensure the safety, general welfare, and enjoyment of the general public.
  • Assists in evaluating existing policies and procedures and recommends improvements that will better reflect the needs of the facilities and/or improve the efficiency of operations.
  • Receives and responds to inquiries regarding athletic programs; creates and disseminates promotional materials, schedules, memorandums, reports, and other related items.
  • Works with staff to prepare detailed plans, outlines, and diagrams for distribution to carry out contractual and departmental obligations in conjunction with events.
  • Assists the Facility Superintendent with overall management and operations of the sports facility assigned on a day-to-day basis.

Minimum Qualifications

Education:
Associate’s Degree with coursework in Leisure Services, Sports, or related field.
Experience:
Two (2) years of responsible experience in managing recreation and sports programs/activities including one (1) year in a lead/supervisory capacity.
An equivalent number of additional years of experience may be substituted for the education requirement.
Must possess a valid Florida Driver’s License

Knowledge, Skills and Abilities

  • Knowledge of methods and practices in developing and operating public assembly facilities such as stadiums and arenas and related event facilities maintenance and management.
  • Ability to thrive in an environment that at times requires independence and at times requires working as part of a team, and the ability to discern between the appropriate approach.
  • Must be dependable, flexible, and willing to work additional hours during peak periods, including weekends and holidays.
  • Knowledge of management practices and safety requirements for buildings utilized for public assembly.
  • Knowledge of environmental and safety rules, regulations, and policies and conduct job site inspections to ensure compliance.
  • Must be able to multi-task and effectively prioritize multiple events, requests, and situations.
  • Strong strategic thinker and communicator who understands and prioritizes competing objectives among competing audiences.
  • Skill in effectively directing a staff comprised of professionals, tradesworkers, and management responsible for carrying out planning, maintenance, and event operations.
  • Knowledge and experience in contract management and facility development.
  • Strong orientation towards customer service.
  • Ability to weigh institutional priorities in relationship to budgetary constraints, make sound decisions, and escalate where appropriate.

Medical Health Reimbursement Account (HRA): The County contributes $500 per employee or $1,000 for employee plus dependents, for medical and prescription-related expenses.
State-of-the-Art Employee Wellness Center: The County provides a private health center for County Employees and eligible dependents. The Employee Wellness Center offers an array of primary care services, including sick visits, enhanced by x-ray services, pulmonary tests, lab work, and a dispensary offering over 200 generic medications onsite. Services at the Wellness Center are offered at no cost to the employees and their eligible dependents.
  • Employees who are enrolled on the County’s Medical plan have access to the Employee Wellness Center on day one of employment. The Wellness Center is available to patients 8 years of age and older.
Basic Life Insurance Policy: At no cost to the employee, equal to one time the employee’s annual salary, rounded to the next thousand dollars. Employees can opt to buy additional Life Insurance.
Short-Term and Long-Term Disability: At no cost to the employee. The County offers Short-Term and Long-Term Disability at 60% of the employee’s weekly base salary. The employee has the option to purchase an additional 10% coverage.
Membership in the Florida Retirement System: This benefit cannot be easily matched by a traditional 401k plan. Current County contributions are:

The Florida Retirement System (FRS) offers two retirement plans — the Investment Plan and the Pension Plan. Both plans are subject to a mandatory 3% employee contribution.
