Facilities Manager


Summary


Under the supervision of the Facilities Manager, the Senior Assistant Facilities Manager is responsible for assisting in all areas defined as part of the Facility Manager position. This is a management position that will directly and indirectly supervise individuals, building staff, operations, and coordinate across the facilities organization at a specific location, set of buildings, or campus environment. The Senior Assistant Facilities Manager drives implementation of company best practices in alignment with client goals and objectives to deliver a well-managed and maintained building.



ESSENTIAL FUNCTIONS AND RESPONSIBILITIES


  • Responsible for the day-to-day operations of the facility(s) or campus, including janitorial, life-safety, engineering, site services, and general maintenance are implemented and carried out in a manner consistent with C&W policies and client directives. Ensure all contracts are reviewed on a regular basis and are bid out as required and confirm invoices match contract pricing
  • Hire, train and motivate facility personnel. Maintain positive staff relations. Conduct or approve performance evaluations for staff
  • Supervise all maintenance programs relating to the interior and exterior conditions and appearance of the properties
  • Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims as required
  • Proactively inspect the facility, systems, rooms, common areas, etc. and report back any findings or issues to the Facility Manager
  • Manage the building staff in absence of the Facility Manager or Senior Facility Manager. Includes all managerial functions, which are included in the Facility Manager and Senior Facility Manager job descriptions, or directed by the manager.
  • Complete understanding of management contract, vendor agreements, and other building/facility contracts and all requirements contained therein
  • Respond promptly to requests for building maintenance, repairs,cleaning needs, etc. from building occupants and for the implementation of ongoing contract programs to addressand resolve needs and problems
  • Collect, analyze, and prepare reports of such statistical data as may be required to provide accurate and current assessment of facility management objectives
  • Provide information and reports necessary for the development of capital budgets for the facility. This includes contributions towards a five-year plan of maintenance, facility improvement, and cost reduction initiatives
  • Compile information necessary to ensure all site-specific documentation and reports are completed accurately and on time, including (and as applicable): Property Information Book, Site Operating Manual, Emergency Procedures Manual, IIPP Manual, Local Code Compliance Log, ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Purchase Order Log, Vendor Certificates of Insurance, As-built Drawings, IIPP Manual, Paid Invoices File, General Files, Contract Files, Annual Property Conditions and Year- end Performance Report and other reports and documentation as required
  • Prepares budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the facility(s) or complex as directed

IMPORTANT EDUCATION


  • Associate’s degree in facilities management, building, business or other related field required
  • Bachelor’s degree preferred


Important Experience


  • Experience in maintenance, construction, engineering, and all facets of property operation and building management preferred
  • One year supervisory experience preferred
  • CMMS/Work Order Management experience is preferred
  • Minimum 3 years’ relevant experience, preferably in commercial or industrial real estate with facility management experience required


Additional Eligibility Qualifications


  • Strong discipline of financial management including financial tracking, budgeting and forecasting
  • Excellent computer and systems knowledge; strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint)
  • Job Title
  • Certified Facility Manager (CFM), International Facilities Management Association (IFMA), Building Owners and Managers Association (BOMA) industry certifications recommended; other Engineering, Business, or technical training or certifications a plus
  • Skilled in Building Management Systems maintenance and monitoring
  • Proficient in understanding management agreements and contract language
  • Ability to read and understand construction specifications and blueprints

About The Role


As a Maintenance Technician II, you will use your skills to support the Operations Maintenance team in repairing and maintaining material handling equipment and pneumatic systems throughout the building. You will have the opportunity to install, maintain and repair automated packaging and distribution equipment. In addition to developing your skills, you will mentor junior technicians to grow in their roles.


Responsibilities Include, But Are Not Limited To


  • Promote a safe working environment by following all safety procedures
  • Track and store department inventory
  • Troubleshoot electrical and mechanical problems related to all Material Handling Equipment (MHE) which includes belts, motors, photo-eyes, relays, and more
  • Complete preventative maintenance routines with proper documentation
  • Move up to 49lbs as well as stand and walk during shifts lasting up to 12 hours, with or without reasonable accommodation
  • Maintain a positive working relationships across all of the Operations facility


Basic Qualifications


  • 1+ year of knowledge with electrical and electronic principles
  • High school diploma or equivalent
  • 1+ years of metal and wood fabrication
  • 1+ years of blueprint and electrical schematic reading
  • 2+ years of experience with automated conveyor systems and controls
  • 2+ years of experience in the repair of material handling equipment
  • 2+ years of experience conducting predictive and preventative maintenance procedures


Preferred Qualifications


  • 2+ years apprenticeship or equivalent experience in the Mechanical or Electrical field
  • Associates or higher degree from a vocational school or college with a focus in the Mechanical or Electrical field
  • Project Management experience
  • Experience with Material Handling Equipment (MHE) safety standards accordance with Original Equipment Manufacturer (OEM) and Safety standards
  • Experience with a Computerized Maintenance Management System (CMMS)
  • Experience with robotic operation and maintenance
  • Able to troubleshoot basic input and output functions


Physical Demands


The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.


  • Ability to perform tasks wearing a mask, face shield, and composite toed boots
  • Involves movement between departments, floors, and properties to facilitate work including walking 6 to 12 miles per day
  • Regularly required to type on a computer or stand-up desk and for 1-2 hours per day
  • Ability to perform tasks wearing a mask, face shield, and composite toed boots
  • Regularly required to crouch and reach to install/move equipment by bending forward at the waist or by bending legs and spine
  • Work in an environment with fluctuating temperatures
  • Must have ability to reach arms above head, kneel, squat, climb steps/ladders, frequently lift a maximum of 50 lbs. of equipment
