Job Description

A highly intelligent, resourceful individual with exceptional communication skills and organizational ability is sought by our shareholders. We are seeking to hire someone who is dedicated to the support role and is a true professional in all they do.


In this role, you will be performing a wide range of duties. The Executive/Personal Assistant will interact closely with our shareholders, business clients, and personal contacts. Applicants must be hardworking, highly organized, dedicated, work well in a fast-paced environment, and possess excellent verbal and written communication skills. The ideal candidate will have a minimum of 5 years' experience supporting Presidents, Vice Presidents, Board of Directors, or C-level executives.


Responsibilities:

· Act as a gatekeeper

· Exercise a high degree of discretion due to confidential and sensitive information

· Provide high-level administrative support

· Track and manage personal bills using Bill Pay

· Assist with local personal errands and help manage household contractors

· Travel to corporate office and personal properties when needed

· Maintain heavy, complex and frequently changing multiple calendars

· Set daily, weekly, monthly calendar events and reminders for the President

· Coordinate all aspects of business and personal meetings and conference calls

· Handle all confidential business and personal matters and work independently on special assignments

· Answer and screen incoming phone calls, place calls as directed, dial into conference calls/zooms

· Organize and coordinate full travel arrangements for business and personal travel (both domestic and international) – including lodging, commercial flights, ground transportation, tours, dining reservations, special activities, COVID-19 testing and requisite paperwork

· Collate reports and track down relevant team members to meet deadlines

· Transport shareholders to and from the local airports, meetings, and other needed errands

· Perform administrative and office support to include filing, maintaining reports, copying, and mail/courier

· Ensure the executive suite is fully stocked with beverages and snacks

· Communicate with building management (report problems when needed)

· Provide backup to front desk

· Responsible for shipping and tracking packages

· Execute ad-hoc projects and duties as needed

· Duties and responsibilities may be added or changed at any time at the discretion of the shareholders, written or verbally


Qualifications:

· Ability to multitask, prioritize, work under pressure, and have master time management skills

· Ability to keep information highly confidential and use discretion when needed

· Be assertive and work well under pressure

· Excellent telephone personality and ability to deal with people

· Discreet nature with strong judgement skills

· Professional personal appearance

· Reliable mode of transportation; Valid Texas driver’s license

· Personal assistance experience preferred

· Demonstrate ability to take initiative and work independently

· Experienced user of Microsoft Office Software (Word, Excel, and Outlook)

· Ability to adapt to current technology, systems and software

· Excellent written, grammatical and oral communication skills

· High School diploma
