Job Description
WHO WE ARE

Planned Parenthood Association of Utah (PPAU) is a non-profit family planning agency and a leader in sexual and reproductive healthcare, advocacy, and education in the state of Utah. We provide high-quality, affordable sexual and reproductive health care for Utahns/people in eight health centers across the state.

The Executive Assistant will support two full-time executives at PPAU, the CEO and the VP of Human Resources, and will provide and oversee a full range of clerical and specialized administrative functions. Assignments involve work of a confidential or complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact, and diplomacy as well as a practical knowledge of the practices and procedures of the agency. The Executive Assistant will collect and prepares information for use in discussions/meetings of executive staff and outside individuals and will assist the CEO in scheduling and internal/external communications. They will also serve as a liaison to the Board of Directors and senior management teams; scheduling board meetings and answering general inquires on behalf of the CEO.

The Executive Assistant will additionally support the VP of Human Resources with various administrative and clerical duties such as employment verifications, document management, and onboarding/off-boarding responsibilities.

Job Responsibilities:

  • Serve as a liaison between the Board of Directors and Executive leadership.
  • Assist in planning agency functions.
  • Ensure that all agency information – strategy, plans, proposals, quotes, clinical information is kept completely confidential.
  • Assist the CEO in managing their inboxes and prioritizing critical communications.
  • Assist in smooth running of operations.
  • Manage the CEO’s calendar; plan and schedule meetings with internal as well as external participants.
  • Provide comprehensive, high-level administrative support to the CEO including extensive and complex scheduling, as well as detailed travel plans and meeting agendas.
  • Assist in preparation of communications both internally/externally.
  • Edit and create professional presentations.
  • Provide administrative and clerical support to the VP of Human Resources.
  • Make high-level contacts internally and externally regarding sensitive subjects.

What we are looking for:

  • 3 years relevant experience in high-level Executive Administrative position.
  • Fluent in MS Office products.
  • Proactive approach.
  • Ability to set an example and maintain a positive culture and environment for the company.
  • Flexibility and resourcefulness; ability to wear several hats and process multiple tasks simultaneously.
  • Handle highly sensitive and confidential information. Discretion is of utmost importance in this position.
  • Ability to work in a fast-paced environment, Fast learner.
  • Excellent communication and project management skills. Strong interpersonal skills.
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working environment.
  • Experience in healthcare and/or non-profit preferred.
  • Detail oriented, with the ability to multiple tasks in parallel on an ongoing basis.
  • Occasionally ordering of business meals for meetings, agency functions, board meetings and the ability to anticipate ordering of such meals (breakfasts, luncheons, dinners).
  • Professional, helpful, friendly approach to interactions both internal and external.
  • Demonstrated skills of project management, strong organizational skills and attention to detail. Ability to work both independently and as a team member.
  • Bachelor’s Degree or equivalent experience.
  • Ability to develop, implement and understand general agency operations, workflows and procedures as appropriate.
  • Experience with human resources preferred.
  • Ability to work with little or no supervision, but with good judgment to know when to involve others or ask for guidance.
  • Relieve CEO of as much day-to-day work as possible; anticipate needs and involve the people you support as appropriate to ensure synchronization of thoughts about work.

The salary for this position is $58,000 - $63,900 an year, and will be based on the experience that you bring to the table.
