Job Description

Job Summary

This is an entry level position with opportunity for advancement. We are looking for an outgoing and organized person with a positive, helpful attitude looking to expand their skills and work on a variety of moderately complex projects providing administrative, office support, and project coordination for the organization.

Primary Duties and Responsibilities

Executive Assistant

  • Acts as personal assistant to VP, Product Innovation and team
  • Collects, analyzes, and summarizes information as needed
  • Runs company errands as required
  • Arranges travel schedules and reservations
  • Maintains organization and cleanliness of common areas of the office including the conference rooms, break rooms, and supplies room
  • Maintains confidentiality and sensitivity of documents, information, and interactions
  • Researches a variety of issues and works on special projects as needed
  • Performs usual administrative duties such as scheduling, calendar management, expense reporting, arranging meetings, travel, shipping packages
  • Maintains inventory of general office supplies. Anticipates office needs, place and expedite orders when necessary.
  • Assists with planning and organizing all team events and meetings
  • Manages vendors related to office operations
  • Scribes for company meetings as needed.
  • Assists in preparation and editing of correspondence, reports, and presentations
  • Greets all guests and visitors and ensures company protocols are followed

Job Requirements and Qualifications

  • Personable and professional with a positive attitude
  • Superior communication skills, both written and verbal
  • Proven ability to effectively multi-task
  • Experience working with cross functional teams, with third parties, and onshore and offshore resources
  • Works well with others in a fast paced, dynamic environment
  • Strong organizational skills and attention to detail
  • Strong initiative and follow through skills

Qualifications

  • Bachelor's Degree with minimum 3.0 GPA
