OVERVIEW

Better Together works to end the root causes of poverty, dependency, divorce and child
abuse by leveraging the power of the local church to provide struggling families with
supportive relationships and meaningful work. Once properly supported, families can achieve
independence, stay together and thrive.

The Better Together team seeks an Executive Assistant to the CEO.

As the Executive Administrative Assistant to the CEO of Better Together, you will play a
pivotal role in supporting the organization’s mission to create positive change in
communities and improve the lives of those in need. Your role will be crucial in enabling the
CEO to focus on strategic decision-making, fundraising, and leading the organization
effectively. You will be responsible for providing high-level administrative support, managing
communication, coordinating activities, and ensuring the CEO’s office functions smoothly.
The Executive Assistant to the CEO should be a self-starter who thrives when challenged
and is comfortable working remotely and finding creative solutions.

ROLES AND RESPONSIBILITIES

The Executive Assistant to the CEO will have ten key responsibilities. They are:

Office Management

  • Maintain an organized and efficient office environment, including managing schedules, coordinating meetings, arranging travel, and handling logistics.

Communication

  • Act as the primary point of contact for internal and external stakeholders in the CEO’s office. Respond to inquiries, manage emails and correspondence, and draft official communications on behalf of the CEO.

Calendar Management

  • Coordinate the CEO’s schedule, arrange appointments, meetings, and events, ensuring alignment with strategic priorities and commitments.

Board Support

  • Assist in preparing materials for board meetings, record minutes, and ensure timely follow-up on action items.

Fundraising Support

  • Collaborate with the fundraising team to support donor communications, acknowledgment, and tracking of contributions.

Research and Analysis

  • Conduct research and gather information on various topics to support the CEO’s decision-making process and preparation for events or meetings.

Special Projects

  • Take ownership of special projects and initiatives as assigned by the CEO, collaborating with other departments and teams as needed.

Confidentiality

  • Handle sensitive information with utmost confidentiality and discretion.

Relationship Building

  • Develop and maintain strong relationships with staff, board members, donors, and other stakeholders to enhance communication and collaboration.

Executive Support

  • Provide any additional administrative support required to ensure the CEO’s efficiency and effectiveness.

REQUIREMENTS

  • Discretion and sound judgment in handling sensitive and confidential information.
  • Strong communication and interpersonal skills to interact with various stakeholders professionally.
  • Proven experience as an Executive Assistant or in a similar high-level administrative role.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Bachelor’s degree in business administration, Non-Profit Management, or a related field (or equivalent work experience).
  • Demonstrated commitment to the mission and values of Better Together.
  • Proficiency in office software and technology tools, including Microsoft Office Suite and Google Suite and cloud-based collaboration platforms.

PREFERRED REQUIREMENTS

  • Experience working in a non-profit organization, preferably in a capacity related to community development, social services, or humanitarian work.
  • Knowledge of fundraising principles and practices.
  • Familiarity with project management tools and techniques.

TIMING, LOCATION AND COMPENSATION

Better Together seeks to fill this position as soon as possible. The organization’s
headquarters are in Naples, Florida, but all the Better Together staff reside in Florida. The
Executive Assistant to the CEO must reside in Southwest Florida. Better Together has built a
highly successful work culture over the past decade with systems and structures designed
for clarity, flexibility, and great communication. Key elements of the environment include:

  • Weekly team meetings with clear accountability and the opportunity to solve issues as a team.
  • Quarterly in-person team meetings at which you’ll build deeper relationships, set clear goals aligned with the Better Together vision, and brainstorm how to seize new opportunities.
  • An intensive 90-day orientation to familiarize you with the Better Together team, our policies, and how we operate.
  • Home office setup, including equipment and communication tools you need to hit the ground running.
