Job Description
Executive Assistant to the President


Salary: $55k plus (depending on experience and education)

Work Schedule: Full-time (some after hours)


Status: Regular, Classification: Exempt


Job reports directly to the CEO/Preesident


Location: Miami – Corporate office (hybrid after an introductory period)


An entrepreneur and President has an immediate need for an experienced Executive Assistant.


Summary of primary duties includes:


  • When assigned, serve as a liaison between the president and other individuals or departments within the organization. This involves facilitating communication, relaying important messages, and coordinating actions and initiatives as directed by the president.
  • Drive to and from meetings; take notes at meetings.
  • Strong communication abilities.
  • Advance skills in MS Suite (Word, Excel and other Apps and Software)
  • Handle incoming and outgoing communications on behalf of the president. This includes managing phone calls, emails, and other correspondence, and often drafting responses or redirecting inquiries to the appropriate individuals within the organization.
  • Handle the president's travel arrangements, including booking flights, accommodations, ground transportation, and any other necessary logistics. This involves researching options, coordinating schedules, and ensuring that all travel arrangements are in line with the president's preferences and requirements.
  • As needed, handle Personal and Professional needs of the President. For example: run household errands; deliver coffee, lunch, dinner, and household grocery shopping (as needed). No household cooking or cleaning.
  • You will handle sensitive and confidential information. A Strong work ethic in dealing with confidential information is required.
  • Maintain a valid driver's license and use personal automobile, as needed for business.
  • Able to calmly function in fast-paced/demanding environment.
  • Impeccable poise, appearance and punctuality required, always.
  • Anticipate needs and follow-through without assistance.
  • Work independently; own your responsibilities without constantly needing feedback.
  • Conduct research and gather information on various topics as requested by the president. This could involve preparing briefing materials, summarizing reports, and providing the president with relevant information to support decision-making.
  • Track client issues and projects assigned to the President's Management Teams.
  • Excellent organizational skills.
  • Required Knowledge, Skills, and Abilities
  • You will also be assigned additional tasks such as event planning, budget management, or overseeing special projects for the president and the company.
  • Organize and maintain important documents, files, and records, ensuring they are easily accessible when needed. This will include confidential information, reports, briefing materials, and other relevant documents.
  • Proven experience in being detail oriented with verbal and written communication.
  • Attention to detail, and the ability to multitask effectively.
  • Assist in preparing for meetings, including creating agendas, gathering, and organizing relevant materials, and taking meeting minutes. Coordinate logistics, such as reserving meeting rooms and arranging for necessary equipment or catering.
  • Value President's time while screening: phone calls, request for meetings and time from others.
  • Knowledge of CRM, NetSuite, Payroll system, or large database tools will be given preference.
  • Support the day-to-day operations and playing a vital role in the president’s success.
  • Schedule and coordinate meetings, appointments, and travel arrangements. This involves prioritizing appointments, resolving scheduling conflicts, and ensuring that the president's time is optimized.
  • It is essential to maintain a high level of discretion and professionalism in all aspects of your work.


Education and Experience


  • Some college and minimum 3 years as an executive assistant in a business environment. Experience in a corporate environment will be given preference.
  • College cannot be exchanged for experience.


Physical Demands and Abilities:


  • Sit for long periods of time to: type, answer questions, answer the phone, use electronic equipment (i.e. mobile devices), laptop, computer desktop, cellular phone, two or more monitor screens, etc.
  • Ability to lift office materials up to 5 pounds.
  • Work within a corporate office area adjacent to the company’s buildings that house distribution and manufacturing.
