Job Description

A Fort Lauderdale based international large yacht management company has opened a position for an Administrative Assistant professional to become a member of the Executive Team’s administrative support staff.

The position title is Administrative Assistant to the Director of Operations. This position offers flexibility for in-office, work from home, days and hours to align with the position’s activities. It does require the off-hour monitoring of email and telephone support to the Director of Operations.


This is an ultra-high level, high volume, position that welcomes thoughtful, excellent, spoken and written communication abilities.


A. Specific Responsibilities Include, but not limited to:

  1. Report to the Executive Director of Operations.
  2. Support the Director of Operations’ activities including maintaining professional calendars.
  3. Support prioritization of Director of Operations’ high volume of tasks and sensitive matters.
  4. Communicate and collaborate with all levels of the organization, client offices and ship’s senior crew in a professional and effective manner reflective of the Executive Team.
  5. Manage and coordinate all administrative services to the Director of Operations: including, but not limited to: fielding the Director of Operations’ incoming calls, taking messages, meeting preparations, meeting note taking, document review and editing, filing, drafting emails, etc..
  6. Prepare correspondence and assemble confidential and sensitive information as directed.
  7. Maintain comprehensive and accurate records.
  8. Other Executive Team administrative support on special projects as assigned.
  9. General office support as may be directed.


B. Requirements:

  1. Minimum of two years of executive level administrative support experience.
  2. Highly proficient with MS Word, Excel and Adobe Professional.
  3. Ability to multi-task and meet deadlines.
  4. Thoughtful and excellent verbal and written communication skills.
  5. Must be extremely organized with strong attention to detail.
  6. Three professional references.
