As an Executive Assistant, you will play a critical role in supporting our CEO and CFO by anticipating their needs, providing timely and personalized assistance, and keeping them informed of upcoming commitments and responsibilities. This dynamic position requires a high level of professionalism, confidentiality, and the ability to work independently on projects from conception to completion. The ideal candidate is highly self-motivated, organized, and capable of managing their own workload with the ability to handle a wide variety of activities and confidential matters with discretion.
In this role, you will provide sophisticated calendar management for our CEO and CFO, prioritize inquiries and requests, and troubleshoot conflicts with the ability to make judgements and recommendations to ensure smooth day-to-day engagements. You will act as a liaison and provide support to the Board of Directors, arranging and handling all logistics for Board meetings and events. You will also complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects, designing and producing complex documents, reports, and presentations, collecting and preparing information for meetings, composing and preparing correspondence, making travel arrangements, and completing expense reports.
As the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and CFO, you will prioritize and determine appropriate courses of action, referrals, or responses, exercising judgement to reflect the Executive’s style and organizational policy. You will coordinate all Executive Team meetings and assist with staff meetings and events as needed. You will also manage all aspects of the organization’s office services, evaluate and assist in developing office policies and procedures for improved workflow, and replenish office materials such as snacks, printer supplies, paper, and office supplies.
The ideal candidate will have a Bachelor’s degree and 5-10 years of experience supporting C-Level Executives. Expert proficiency with Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat is required. Exceptional organizational skills and impeccable attention to detail are essential, as is the ability to make decisions recognizing established precedents and practices and to use resourcefulness and tact in solving new problems. Strong written and oral communication skills are needed, including conversations with high-level external parties. The ability to exercise judgement and discretion in applying and interpreting rules, regulations, policies, and procedures, strong analytical and research skills, and the ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround are also important.
