Summary
This role will provide administrative support to the Regional Leadership Team in PM Pediatric Cares South Atlantic Region. Responsibilities will be focused mainly on supporting regional meetings and team building activities, employee scheduling and time keeping, and supporting efforts around community partnerships and recruitment.Description
- Become well versed in Intrigma features – automation, staffing needs, templating. Work to do more schedule building using the auto features from Intrigma
- Enter relevant status changes through Manger Self Service (MSS). Process terminations.
- Help organize attendance at school/career fairs
- Collect RSVPs/Take Attendance
- Publish schedule after approval by regional teams; publish associated messages
- Reconcile PTO entries with intrigma entries
- Help manage open requisitions throughout the region.
- Compliance: Ensure that all required compliance courses or activities for employees in the region are completed and appropriately tracked in a timely manner
- Maintain a calendar for the region(s) - ensuring that meetings do not overlap or conflict within the region or with the corporate calendar
- Help payroll with time clock reconciliation prior to payroll run
- Workday Related ResponsibilitiesClocking In and Out
- Attend meetings with corporate recruitment and regional teams to understand the region’s needs
- Orientation: Liaise with and support Regional Orientations Coordinators to enhance the onboarding/orientation experience for clinical employees
- Cultivate/manage relationships with local schools/certification programs
- Communicate with newly onboarded employees regarding their orientation program (fit testing, orientation shifts, meeting manager, etc.)
- Recruiting Responsibilities: Liaise with the recruitment champions in the region(s) to
- Schedule & Intrigma Related Responsibilities
- Make/coordinate delivery of ID Badges and Print/update orientation materials
- Meetings Management: Plan, support and execute Regional Meetings and maintain a Regional Meeting Calendar (“Meetings” include but are not limited to the following: monthly provider education meetings/monthly Office Manager and Medical Director leadership meetings/Regional leadership meetings/education meetings/orientations/recruitment fairs/team building exercises and events e.g., social/community marketing events)
- Email out invites and agenda
- Coordinate space and conference rooms across sites
- Gather agenda items and create agenda
- Input shift changes and switches; cc appropriate regional leader
- Update hours/late stays for overages; cc appropriate regional leader
- Order Food
- Adjust clock ins and out when there are missing punches
- Manage Orientation Calendar
- Print materials for meetings
- Send Minutes with “action items” for individuals
Qualifications
- Excellent customer service skills and the ability to quickly comprehend difficult tasks while remaining focused and driven on the overall needs of the region
- Promotes good public relations and professional image to the public
- 2-5 years of experience in a healthcare administration role
- Good listening and verbal communication skills. Strong attention to detail
- Possesses strong office organization abilities and skills with working knowledge of Microsoft Office and other related office/scheduling/HRIS software and systems
