The Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the department. The person in this role serves as a liaison for the department, works closely with other Administrative Assistants and senior management teams and oversees special projects. The ideal candidate has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. They should also have the ability to work independently on projects, and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.
Major Activities
Schedule / Calendar Management:
  • Coordinates the most efficient use of SVP/GM’s time including: Anticipates and prepares daily schedule of SVP/GM’s meetings and priorities.
  • Ensure executives are aware of daily schedule, have appropriate hand-outs, files, presentation, etc. in advance of meetings and notified of schedule changes as they occur.
  • Communicates high priority conflicts to obtain feedback and reset priorities prior to rescheduling.
  • Manages an extremely active calendar of appointments for SVP/VP’s using Outlook.
  • Schedules appointments without prior clearance.
Meeting / Event Coordination:
  • Screens telephone calls and determines whether SVP/VP should be interrupted based on business need of caller.
  • Initiates, establishes and communicates department meetings on behalf of SVP/VP. Prepares meeting agenda. Ensures meetings progress according to schedule. Follows up on meeting action items.
  • Takes meeting minutes as necessary and follows up on action items. Composes and types correspondence, memos, presentations, organization charts and confidential material.
  • Schedules and coordinates meetings, conference calls, and other executive events; informs attendees/participants of function dates and times, reserves meeting space, and catering services when appropriate.
  • Anticipates, prepares and compiles materials for conferences and meetings on own initiative.
  • Organizes, prioritizes and summarizes the content of incoming materials, specially gathered information, special requests and meetings.
Travel Coordination:
  • Coordinates domestic and international air travel, ground transportation, and hotel accommodations.
Communication:
  • Performs other duties/functions as assigned. Critical functions of this job are described above and may be subject to change at any time due to reassignment of duties and responsibilities, reasonable accommodation and/or other reasons.
  • Communicates in person and through correspondence with sometimes high level contacts inside and outside the company including vendors.
Minimum Education
  • High School Degree
Minimum Special Certifications Or Technical Skills
  • Strong Microsoft Office skills including Excel, Powerpoint, Word including skills such as Mail Merge, etc.
Minimum Type Of Experience The Job Requires
  • Administrative assistant experience including executive level support
Other
  • Knowledge of the corporate organizational structure, functional responsibilities and general operating techniques required
  • Must be able to gather data and return reliable, pertinent information to the SVP for action
  • Strong interpersonal skills are essential with a high degree of sensitivity for confidentiality
  • Candidate must be strong in both oral and written communication skills
Preferred Education
  • Some College preferred
