Job Description

Provide full administrative support to the President. Applying a clear understanding of Fuzzy’s Taco Shop business priorities to ensure the President and his team are properly prepared and briefed for upcoming events and keep them appropriately informed of urgent business developments throughout the day. Analyze problems, determine approach, compile and analyze data, and keep appropriate staff advised. Communicate with executives, administrative staff, general management and external parties to gather information as needed to complete assignments.


Primary responsibilities include preparing correspondence, scheduling meetings and appointments, expense reporting for the president, arranging travel, maintaining communication with and providing information to parties as appropriate.

Skilled in taking notes, quick assignments and following up as required with minimal supervision. Overall demeanor should be calm, professional, warm, friendly and approachable in the midst of an intense, service oriented and demanding role. Other duties may be assigned as needed; assignments vary greatly.


Responsibilities

  • Maintain a warm, professional demeanor; greet visitors, franchisees, customers, co-workers. Applying an in depth understanding of the business, attend to requests coming into the President from various parties with an appropriate level of attention, listening to the issue, understanding the business impact of the issue, responding with appropriate actions.
  • Support the office staff with ordering office supplies.
  • Maintain accurate accounting of all open and closed restaurants.
  • Demonstrate the ability to act in a professional yet warm manner and maintain competency in a fast paced, demanding work environment.
  • Assist in preparation of presentations submitted by executive staff for use in BOD and other meeting formats. Leverage expertise of other professional administrative staff to ensure high quality end products.
  • Act as office coordinator for franchisee meetings (Meet the Fam), organizing breakfast and lunch caterings.
  • Maintain calendar of President and other Executives to ensure activities and meetings are properly prioritized throughout the day given the changing business requirements.
  • Organize dinner reservations as necessary for business meetings for the President.
  • Arrange travel schedule and reservations. Upon completion of travel, prepare expense reports and ensure submission in a timely fashion.
  • Must be available for demanding work volume. Role requires extreme personal flexibility to accommodate unforeseen tasks that are time sensitive.
  • Assist Dine legal team with FDD annual updates.
  • Proactively manage calendars to accommodate shifting priorities; ensure all parties impacted by required changes are treated with the utmost courtesy and professionalism.
  • Coordinate FRC (Franchise Review Committee) meeting with all disciplines.
  • Maintain a positive disposition and good work ethic regardless of work demands
  • Maintain and organize, in a professional manner, personal workspace and the office of the President.
  • Build rapport with other team members driving to increase interdepartmental cooperation.
  • Promote company Vision and Values through actions and approach; be a team player.
  • Possess the ability to handle a multitude of projects simultaneously.
  • Develop appropriate relationships with co-workers to ensure open informal communication paths exist.
  • Interface smoothly and effectively with all levels within the organization including BOD, Executive Staff, Team Members, Vendors and franchisees.
  • Ensure that workflow is handled for maximum efficiency. Be proactive in anticipating needs.
  • Set up, organize and maintain correspondence files and other records so that they are easily accessible by other administrators.
  • Read, sort and route incoming mail and interoffice documents/e-mail correspondence.
  • Maintain lead generation workflow and timely communicate leads to sales team.


Skills & Requirements

  • Outgoing, approachable demeanor.
  • Working knowledge of databases and maintaining on-line shared systems (Salesforce, Site Zeus, SharePoint)
  • Ability to work independently, handle multiple tasks simultaneously and manage one’s own time appropriately given ever changing priorities.
  • Exhibit a caring attitude.
  • Highly proficient in the use of MS Office Suite programs (MSWord, Excel, PowerPoint, Outlook).
  • High School education or equivalent; AA/BA degree desirable.
  • The ability to communicate information and ideas through writing and speaking so that others understand clearly.
  • Ability to give full attention to what other people are saying, take the time to understand the points being made and ask questions for clarification as appropriate.
  • Salary Range: $60,000 - $70,000
  • Minimum 10 or more years of related executive level experience in a fast-paced demanding work environment supporting C-Suite officers in a public company.
  • Ability to deal with challenging behaviors and conflicting priorities.
  • Excellent written and verbal communication skills; highly refined ability to use discretion with regard to confidential information.
