The purpose of the Executive Assistant position is to support the Company’s Executive Leadership team and Board of Directors.

Outcomes and Activities:
  • Scheduling, coordinating, and managing events such as Board meetings, team meetings, town halls, Board and executive team gatherings, and off-site activities;
  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and adjusting plans.
  • This position will work from home and also require some work onsite at an assigned office work location.
  • Coordinating follow up activities; and
  • Overseeing logistics related to those activities, such as reserving rooms and ensuring the team has access to the right technology;
  • Arranging corporate travel, including developing itineraries, booking flights, arranging lodging, booking ground and other transportation, and meeting accommodations;
  • Support the Executive leadership team and Board of Directors. This includes:
    • Scheduling, coordinating, and managing events such as Board meetings, team meetings, town halls, Board and executive team gatherings, and off-site activities;
    • Overseeing logistics related to those activities, such as reserving rooms and ensuring the team has access to the right technology;
    • Arranging corporate travel, including developing itineraries, booking flights, arranging lodging, booking ground and other transportation, and meeting accommodations;
    • Assisting executives with any necessary meeting preparation such as:
      • Reviewing and revising meeting documents for accuracy, formatting, and arrangement of material.
      • Tracking and driving timely completion of key deliverables and following up on outstanding items.
      • Collecting and distributing meeting materials.
    • Joining meetings to take notes, when requested, and follow up with responsible parties to ensure tasks are completed as agreed;
    • Coordinating follow up activities; and
    • Process business expenses, reimbursement requests, and Board of Directors payments in a timely manner;
    • Acting as a fast and efficient conduit between Executive team and third parties.
  • Assisting executives with any necessary meeting preparation such as:
    • Reviewing and revising meeting documents for accuracy, formatting, and arrangement of material.
    • Tracking and driving timely completion of key deliverables and following up on outstanding items.
    • Collecting and distributing meeting materials.
  • Perform other compliance or legal related activities as requested.
  • Process business expenses, reimbursement requests, and Board of Directors payments in a timely manner;
  • Provide administrative support to the Corporate Legal Department and Compliance Department.
  • Joining meetings to take notes, when requested, and follow up with responsible parties to ensure tasks are completed as agreed;
  • Tracking and driving timely completion of key deliverables and following up on outstanding items.
  • Acting as a fast and efficient conduit between Executive team and third parties.
  • Reviewing and revising meeting documents for accuracy, formatting, and arrangement of material.
  • Provide support to fulfill Board of Directors and other corporate governance obligations, including organizing and maintaining comprehensive and accurate corporate records for Board of Directors and the organization.
  • Collecting and distributing meeting materials.
Knowledge and Skills:
  • Ability to handle administrative details independently, while exercising good judgment in keeping team members informed.
  • Quickly learn and become a subject matter expert in new systems/processes.
  • Open and receptive to ongoing feedback aimed at improving performance.
  • Able to thrive in a fast-paced environment, and work equally well as part of a team and individually while working to build effective working relationships inside and outside of the organization.
  • Ability to speak and write clearly and professionally.
  • Ability to remain positive, professional, calm, and focused on solutions when faced with challenging situations, reacts appropriately to urgent matters that require a quick turnaround time without needing to know the whole picture in order to take effective action.
  • Highly organized with a strong attention to detail, able to prioritize multiple complex requests to meet all deadlines with little to no-guidance.
  • Ability to communicate respectfully, clearly, and concisely with all levels of senior executives both inside and outside of the organization.
  • Ability to maintain a high level of confidentiality with the utmost discretion.
Requirements:
  • Minimum of 5 years of recent experience working as an Executive Assistant in a corporate setting supporting C Level Executives.
  • High School Diploma.
  • Expertise in the Microsoft suite of products.
Preferred:
  • Bachelor’s Degree
Targeted Compensation: $34.57 - $46.09 + an annual bonus plan
