GENERAL PURPOSE


Independently performs advanced, diversified, and confidential administrative support and project management activities for the Leadership Team (LT). May assist one or more leadership team members and their direct team in a staff capacity by handling a wide variety of situations involving administrative office functions, relieving LT members of all administrative detail. Will receive oversight and guidance from the executive administrator to the CEO. Performs all duties in a highly confidential and professional manner.


Essential Functions


  • In the absence of the executive(s), may advise others of the executive's views on policies or issues and may independently initiate activities and responses on the behalf of the assigned executive leader(s).
  • Screens telephone calls, visitors, and correspondence of a highly critical business nature; resolves routine and complex inquiries as appropriate.
  • Performs additional responsibilities as requested to achieve business objectives.
  • Maintains and updates administrative records; processes and tracks expense information related to leader/department activities; manages budgets.
  • Operates standard office equipment and personal computers utilizing standard and advanced office automation software and telecommunication tools.
  • Effectively and professionally interacts with a variety of internal and external people at all levels of the organization, including the client experience team with LT coverage for customer meetings.
  • Schedules travel arrangements, both international and domestic, meetings, and related set up arrangements.
  • Manage team events, monthly all-hands meetings, activities, and projects.
  • Work closely and effectively with LT member to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • With the highest degree of accuracy and detail, prepares routine and non-routine correspondence, memoranda, reports, material for presentations and other documents as appropriate. May compose some documents for executive review and approval.
  • Handles multiple project and administrative tasks simultaneously in a fast paced environment. Anticipate and manipulate outcomes for continuous improvement. Continuously learns.
  • Manage an extremely active calendar of appointments; ensure that the LT member stays on track during their day; prioritize meeting requests and handle conflicts or scheduling changes proactively.
  • Works with highly confidential and proprietary information.
  • Participate in the quarter-end Committee and quarterly Board material compilation process.
  • Serves as a trusted resource and confidant to executive(s) and their teams.
  • Provide backup and coverage for other EA’s as needed.
  • Plan and coordinate complex administrative assignments and special projects within and/or across functional areas; conduct research, gather, organize, and assess information; develop and prepare recommendations.

  • Excellent personal computer skills and knowledge of office automation, software, communication, and tools currently used in the Herman Miller office environment.
  • Possess a broad and comprehensive experience in, skill and knowledge of HMI policies and business practices.
