Job Description

What we are looking for:

We are seeking an experienced Executive Assistant to support our Executive Leadership team with some day-to-day administrative tasks and special projects. This role will report to the Director of People Operations and will facilitate a wide range of support activities, from coordinating meetings and travel to maintaining executive’s calendars and managing special projects.


To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance, while maintaining confidentiality with sensitive information and communication.


Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to our executive team.


What you’ll do:

  • Format information for internal and external communication – memos, emails, presentations, reports, etc.
  • Oversee other special projects as assigned
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
  • Maintain confidential and sensitive information
  • Prepare reports and presentations for internal communications
  • Organize team communications and plan events, both internal and off-site
  • Manage executive’s calendars and coordinate meeting schedules
  • Provide clerical and administrative support to several executives on our Executive Leadership Team, including our CEO


Requirements:

Recommended Minimum Qualifications:

Education and Experience: or any equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities to perform the key responsibilities of the job.

  • Excellent written, verbal, and presentation skills
  • Strong aptitude for using technology and data
  • Ability to act with integrity, professionalism, and confidentiality
  • Strong time management skills balancing multiple competing priorities with an ability to meet deadlines in a fast-paced, ambiguous environment
  • A person who can establish rapport quickly and read people well
  • Ability to work independently and coordinate multiple large projects through planning, prioritizing, and multi-tasking in a fast-paced environment
  • A self-starter, self-reliant, and results-oriented person
  • Excellent with Microsoft Office Suite
  • Bachelor’s degree in Business, or a related field; or equivalent experience with a minimum of three (3) years of experience as an Executive Assistant, or Administrative Assistant
