Job Description

Position requirements:

  • Ideal candidate will provide top-level assistance for high level executives.
  • Ability to maintain confidentiality and understands the importance of discretion and diplomacy
  • They should be well-organized and
  • Positive, friendly, and supportive attitude; high level of integrity and accountability
  • Exceptional organization and prioritization skills, initiative, and ability to learn quickly
  • Position will require becoming a licensed real estate assistant at company’s expense.
  • 3+ years of administrative experience required; real estate, mortgage, or escrow experience a plus
  • Strong technology skills (MS Office, Google Apps, databases, spreadsheets, social media)
  • Strong written and verbal communication skills and attention to detail


Key responsibilities:

  • Follow our model, utilize available resources, and network with peers on a national level to determine best administrative solutions for the company
  • Constantly build and update systems to create more efficient and inexpensive ways to run the company
  • Be the gatekeeper and organizer, protect team members’ time, ensure all are focused on 20% activities, and hold salespeople accountable for daily goals
  • Keep job descriptions and training plans up-to-date
  • Consistently maintain and improve online procedures documentation, company technology, and systems, focusing on efficiency, consistency, scalability, clarity, and customer service
  • Manage administrative team members, including virtual team members
  • Work with team to implement business plan including goals, GPS, budget, and org chart
  • Achieve budget objectives by leading with revenue, managing expenses, reviewing P&L weekly with CEO, and creating efficiencies
  • Call clients and personal sphere of influence to reinforce LEA as the real estate company of choice
  • Ask for client testimonials, reviews, and referrals
  • Track client survey responses to identify processes that need improvement to enhance client satisfaction
  • Reinforce established policies, standards, and operating principles with team members
  • Hire, lead, manage, and hold administrative team members and vendors accountable utilize KW systems for hiring and accountability, hiring to established org chart and budget
  • Manage CEO’s email and calendar, support and assist her, remove obstacles from her path
  • Collaborate with CEO and other department leads to implement the company’s mission, strategic vision, operating principles, and culture
