Job Summary


The Chief Executive Assistant to the President is responsible for performing professional, administrative, planning, communication and supervisory duties in support of the President of West Georgia Technical College.


Major Duties


  • Provide administrative support to the President o


Process expense reimbursements, EPV’s and PO’s o


Respond to student complaints/issues o


Maintain filing and record keeping system for the president o


Monitor use and maintain supplies, equipment and/or facilities for president’s office; and o


Work with Finance to manage the president’s annual department budgets

  • Manage the President’s schedule o


Schedule meetings and plan travel o


Organize and coordinate daily activities and efficient function of the president’s office o


Find problems and fix them; ask forgiveness, not permission

  • Strategic priority and meeting management o


Plan, coordinate and keep contents of senior staff meetings focused; keep meeting minutes o


Produce consolidated reporting to senior staff, including tracking o


Help to run team meetings, team building, culture creation o


Collaborate with executive team members to determine and prioritize business strategies o


Strategize, develop, and track key performance metrics for the organization to inform status and future opportunities o


Provide tactical support to implement ideas o


Work with the President to drive strategic alignment across the organization o


Identify and help solve core problems or opportunities within business processes o


Work with leadership to deliver, monitor and communicate progress towards goals; team project manager to ensure on track for major initiatives, short and long term (thinking not just what is immediately in front of the College)

  • Manage all facets of the Board of Directors o


Serve as liaison between the President and Board of Directors o


Handle all aspects of monthly board meeting preparation (develop board packets, organize meeting locations, meal preparations, etc.)

Plan and manage annual retreat, leadership conference, holiday party o


Maintain board certification progress for new members o


Act a liaison for board with TCSG

  • Be a thought partner to the President o


Assist with determining and prioritizing decisions, manage time, prepare materials, and brainstorm strategic objectives o


Provide high-level, quick, and in-depth analysis of policy, politics and industry trends o


As needed, serve as surrogate for President at meetings and presentations o


Respond to inquiries on behalf of the President; alert to high priority items, be the first line of defense

  • Provide quality communications support for the President o


Create presentations materials, background briefs and talking points o


Maintain post-meeting debriefs and communicate to relevant stakeholders o


Support the writing of speeches, memos, and thank you letters to partners and government officials, p re-draft emails, o


Manage near and long-term meeting agendas for President. Screen requests for time/opportunities, gather backgrounds on meeting attendees, ensure needed support from team in attendance, develop meeting presentations, talking points, and materials o


Research, gather data, and prepare reports, presentations, publications, spreadsheets, tables and charts for the president’s use

  • Own day-to-day managerial aspects o


Co-manage special events with the Office of Institutional Advancement o


Manage Executive Assistant to the VP’s o


Manage Conference Center Staff o


Schedule facility reservations for Adamson Square boardroom and Murphy Campus boardroom, conference room

Minimum Qualifications

  • Bachelor’s degree in a related field
  • Associate Degree in related field *and* Three (3) years of relevant experience

  • Advanced Word, Outlook, PowerPoint, and Excel skills
  • Experience in positions demanding polished professionalism, confidentiality and trust

  • Formal training in administrative business, organizational behavior, communications, English, computer applications and/or management


Supervisory Responsibility


Has oversight over all positions within the department.

This job operates in a professional office environment, routinely uses standard office equipment and technologies, and requires business attire and professionalism.

Position Type/Expected Hours of Work


This is a full-time, exempt, salaried position.


Role occasionally requires travel, longer hours and some weekend work.


Travel


Travel to other campus locations is required.


Some overnight travel may be required.
