The Executive Administrator role offers direct administrative support to a Senior Vice President (SVP) and provides general assistance to other team members. This position handles highly confidential and critical matters, requiring a comprehensive understanding of departmental and company policies and practices.
As an individual contributor, you will primarily focus on execution. This role operates at a developing professional level, addressing a range of straightforward problems and analyzing potential solutions using established procedures. It receives moderate guidance and supervision.
Essential Functions
Manage a complex calendar, including scheduling meetings, travel, video conferences, training sessions (both off-site and internal), group events, and conference room bookings.
Perform administrative support tasks, such as drafting correspondence, making copies, preparing binders, answering and screening phone calls for managers, directing inquiries within the team, and maintaining office supplies.
Cultivate effective and cooperative professional relationships with all levels of management, employees, and external companies.
Address and manage escalated complaints and issues from Visa cardholders, coordinating with Corporate Communications and relevant functional groups for resolution.
Act as a liaison, problem solver, and facilitator as the primary point of contact for the senior leader.
Manage quarterly All Staff and Quarterly Senior Leadership Meetings, including logistics, agenda/materials, on-site support, and event management.
Occasionally travel to oversee offsite leadership and client meetings, approximately 3-4 times per year.
Assist with departmental communications to internal key stakeholders, collaborating with Corporate Communications and Human Resources.
Maintain Business Continuity Management contact information and prepare meeting materials, including assistance with presentation creation, handouts, and other related materials, as well as printing, binding, and collating.
Coordinate conference/meeting room setup, catering orders, and logistical arrangements.
Assist in developing and updating complex PowerPoint presentations, Excel spreadsheets, and documents to support team activities.
Manage contract administration, monthly budget tracking (including purchase orders, invoices, and accruals), and interface with accounting as needed.
Process expense reports and provide general information to incoming calls regarding Accounts Payables, Purchasing, Travel Policy, and Expense Reporting.
Support senior executive on projects as required.
Coordinate and supervise other Administrative Assistants/Administrators on functional/regional projects.
This position is hybrid, allowing for a mix of remote and in-office work. Hybrid employees are expected to work in the office 2-3 set days a week (determined by leadership/site), with a general guideline of being in the office 50% or more of the time based on business needs.
Qualifications
Basic Qualifications:
Minimum of 6 months of work experience or a Bachelor's Degree
Preferred Qualifications
2 or more years of work experience
Bachelor's degree highly preferred
Experience In a Global, Public Company
Discretion, poise, and professionalism in all communications
Exceptional judgment regarding confidential or non-public information
Ability to operate effectively and efficiently in a challenging, fast-paced environment with minimal supervision
Strong multitasking and prioritization skills with a keen attention to detail
Excellent planning, organizational, written, and verbal communication skills
Advanced proficiency in Microsoft Office, especially in developing complex PowerPoint presentations
Customer service-oriented with the ability to collaborate with internal and external contacts
Proactive and solution-oriented, seeking ways to add value and assist the team
Additional Information
Work Hours: Varies based on departmental needs.
Travel Requirements: This position requires occasional travel, estimated at 5-10% of the time.
Mental/Physical Requirements: This role operates in an office setting and involves sitting and standing at a desk, in-person and telephone communication, and frequent use of standard office equipment such as telephones and computers.
