The executive assistant will perform more than administrative tasks but function as the COO's "right-hand person,” enabling the team to advance company initiatives and goals. They filter and attend to the day-to-day functions that are part of the executive's role so that the executive can focus on the high-level leadership and strategy functions.


This role's dynamic nature requires the ideal candidate to have exemplary time management skills and the ability to identify and anticipate the COO's needs. In addition, the role must interact seamlessly and with a professional demeanor across a broad range of individuals, including members of the Senior Management Team and leaders that report to the COO.


Executive Assistant Responsibilities


  • Maintain the COO's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements.
  • Prepare documents, reports, tables, and charts; distribute as appropriate.
  • Other additional and alternative duties are assigned occasionally, including supporting other departments or Executives as needed.
  • Maintain paper and electronic filing systems.
  • Monday-Friday, 7:30-4:00 and/or 8:00-4:30 depending on COO’s schedule.
  • Work directly with the COO to support all aspects of daily work routine.
  • Serve as a liaison between the COO, Leadership Team, Industry Associations, and Outside Boards.
  • Determine priority of matters of attention for the COO; redirect issues to staff to handle or handle issues personally, as appropriate.
  • Complete various special projects, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas
  • Sort and triage mail; maintain email and other address directories.
  • Attend meetings, take discussion notes, and prepare the initial draft of minutes and summaries.
  • Keep the COO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Provide coordination, monitoring, and communication of projects and programs managed by the Operations Team.
  • Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
  • Prepare, reconcile, and submit expense reports.
  • Maintain confidential and sensitive information.


Required Skills:


  • Someone who exhibits sound judgment with the ability to prioritize and make decisions
  • 5+ years prior experience in supporting a senior executive or team
  • Excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel), and pulling reports from DOMO or other databases.
  • Excellent organization and time-management skills
  • Exceptional writing, editing, and proofreading skills
  • Comfortable interacting with high-level executives


Preferred Skills:


  • A detail-oriented self-starter with prior experience as an Executive Administrative Assistant
  • Bachelor's degree
  • A team player capable of cultivating productive working relationships across the firm
  • Energetic and eager to tackle new projects and ideas
  • Resourceful, can-do attitude
  • Thrives in a fast-paced environment


Salary : $65-75K
