Job Summary:


We are seeking a highly organized and detail-oriented Executive Assistant to support our team in carrying out defined work with precision and expertise. The ideal candidate will excel in systematic and patient processes, while also demonstrating imaginative problem-solving skills. This position requires a disciplined and serious approach, with a focus on delivering high-quality and error-free results. The Executive Assistant role primarily involves task-oriented responsibilities, allowing for independent work and the opportunity to develop specialized knowledge. While social skills are not heavily relied upon, the successful candidate will have dedicated private time for absorbing information and creative thinking. Please note that this role entails close scrutiny and occasional criticism due to its technical nature.


Job Characteristics

  • Enter clinical schedules into Google Calendar.
  • Support new hire onboarding process.
  • Requires meticulous follow-up with minimal delegation.
  • Collect and track relevant data and scorecard metrics.

  • Send monthly birthday and anniversary cards to employees.
  • Offers considerable autonomy with limited external pressure.
  • Input provider schedule templates into the electronic medical record system.
  • Support the needs of the President, CEO, People Operations Manager, Clinical Team Leader and Office Manager.
  • Contribute to the Value Victor Award program survey and announcement.
  • Coordinate CPR certification training as needed.
  • Handle supply ordering and compare prices from different vendors for cost savings.
  • Develop and deliver training materials for staff as needed.
  • Exhibits sensitivity to criticism and willingness to undergo close scrutiny.
  • Organize annual compliance trainings.
  • Assist in tracking, auditing, and balancing PTO (Paid Time Off) for employees.
  • Track provider time off and manage leave management for all staff.
  • Assist with new provider credentialing.
  • Displays confidence in communication after ensuring information accuracy.
  • Relies on factual information for decision-making, avoiding hasty judgments.
  • Plan and organize various events such as monthly all-staff luncheons, quarterly lunch and learns, quarterly departmental retreats, bimonthly all-staff events, semiannual all-staff retreats, and other events as required.
  • Leadership style is established through the production of high-quality and accurate work.
  • Stay updated on new developments in the Paylocity payroll system.
  • Responsibilities include but are not limited to:
  • Provides opportunity for expertise development and thorough planning.
  • Devotion to tasks supports and shapes the leadership approach.
  • Executes work with a systematic and patient pace, emphasizing creative thought for accurate results.
  • Limited need for persuasive influence.


Requirements


Qualifications:


  • Experience with AI or chatGPT.
  • Familiarity with HR processes and compliance is a plus.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Excellent organizational skills and attention to detail.
  • Strong problem-solving abilities and creative thinking.
  • Demonstrated ability to handle sensitive information with confidentiality.
  • Flexibility to adapt to changing priorities and deadlines.
  • Ability to work independently and prioritize tasks effectively.
  • Proficiency in using office software and online tools (e.g., Microsoft Office, Google Suite).
  • Exceptional written and verbal communication skills.
  • High level of professionalism and discretion.
