TITLE: Customer Service Representative II


STATUS: Hourly


REPORTS TO: Customer Service & Communications Manager


JOB FUNCTION: Provide customer service by answering phones, taking orders, responding to questions and assisting customers and other callers. Assist with other skilled projects and training of new employees.


RESPONSIBILITIES AND JOB ACTIVITIES:


  • Maintain account files and distribute incoming support documentation to each respective department.
  • Assist in the review process of shipping and ordering guidelines, vendor packets and maintain accurate files.
  • Process literature and sample requests as per protocol.
  • Attend sales meetings when appropriate.
  • Be knowledgeable of and assist with maintenance of customer notes in order entry system to ensure accurate and up-to-date contents. (i.e.: pricing notes, shipping instructions, and overall customer notes sections.)
  • Fulfill all aspects of customer service required for designated account(s).
  • Be familiar with and follow safety rules and emergency procedures.
  • Create and maintain files; invoice & general files using established basic filing system and appropriate computer programs.
  • Operate office equipment as required.
  • Learn and maintain product knowledge.
  • Perform various duties and overtime as required.
  • Process customer orders through order entry system, per company standards. Including obtaining freight quotes, providing Proforma Invoices, and working with freight companies to secure shipments. Freight companies include freight forwarders, common carriers, express carriers and contract carriers.
  • Type and prepare various correspondence.
  • Perform various clerical duties including: photocopying, filing, mail and fax distribution, typing, proofreading, and creating forms as necessary.
  • Perform special projects as necessary.
  • Answer incoming phone lines courteously and efficiently.
  • Maintain a neat, orderly and clean department and work environment.
  • Assist in the training of new personnel. Revise guidelines as necessary and maintain on a continuous basis.


JOB SPECIFICATIONS


EDUCATION


High School diploma or equivalent is required.


Experience


Minimum five years office & customer service experience including Office programs experience.


Knowledge, Skills & Abilities


Ability to work with limited supervision is required. Professional, hard-working team player who is accurate, detail orientated and has advanced problem solving skills. Self-motivated individual with effective written and verbal communication skills. Organized and dependable and must be able to work with all types of personalities and situations with the utmost professionalism and diplomacy.

Physical Requirements


Hand-eye coordination for typing.
