Job Description

About The Role
As a valuable member of our team, you will report to the Employee Experience Manager and play a crucial role in planning and executing team offsites and internal company events. Your passion for people, self-motivation, and enthusiasm in the events space will make you an essential partner in creating unforgettable experiences for our employees. We are seeking a positive team player who can handle multiple tasks, ready to roll up their sleeves and go the extra mile to ensure the success of our events.
Key Responsibilities
Collaborate with stakeholders to plan and organize internal events based on specific requirements, including venue research and selection, vendor management, transportation arrangements, participant invitations, activity planning, banquet management, and logistics coordination.
Maintain clear and effective communication with stakeholders throughout the event planning process, providing regular updates, aligning event goals, coordinating guest lists and vendor specifications, and ensuring all parties are well-informed.
Liaise with leaders and executives to discuss event specifications, including scope, format, budget, administrative details, and special requirements.
Skillfully negotiate contracts with vendors such as venues, caterers, hospitality staff, A/V providers, and other service providers, ensuring optimal services and activities within budget constraints.
Oversee the entire event process, from preparation and set-up to tear-down, ensuring adherence to planned formats, compliance with regulations, seamless vendor cooperation, issue resolution, and overall participant and sponsor satisfaction.
Perform post-event tasks promptly, including client meetings to ensure satisfaction, invoice and bill reviews, payment approvals, and documentation of issues and resolutions.
Continuously evaluate potential event locations, providers, vendors, and professionals to determine suitability for future events, building a valuable knowledge base to enhance stakeholder experiences.
Travel domestically as required (approximately 30% of the time).
Additional administrative responsibilities may include weekly mail pickups in the Marina in San Francisco, involving tasks like sorting, scanning, and shredding documents (estimated time commitment: 5-7 hours per week). Proximity to San Francisco is necessary for this task.
Qualifications
Bachelor's Degree or equivalent working experience.
5+ years of experience in hospitality, corporate events, event management, or event agency roles.
Proven ability to work with stakeholders at all levels, including executive leadership.
Strong project management skills, with the ability to handle a high volume of projects, events, and vendors simultaneously.
Excellent written and verbal communication skills, including the ability to handle conflicts professionally and calmly.
Detail-oriented and reliable, with effective time-management skills.
Onsite Event Experience Is Essential.

Salary Range
The compensation range for this role is estimated to be between $75,000 and $110,000 USD. The actual salary will depend on factors such as skill sets, experience and training, licensure and certifications, and location. Please consult with your Recruiter for a more accurate range based on job-related factors.
