Job Description

The Chief of Staff and right hand to the Founder + CEO of two companies manages a full range of daily tasks, projects and provides high-level support. Most importantly, be confident and able to optimize the CEO's time while managing full business and personal calendars. This requires someone who can take initiative, be a critical thinker and consistently have foresight to be ten steps ahead. The Chief of Staff will work in tandem with the CEO's Executive & Senior team members within both companies. The Chief of Staff will have strong leadership and problem-solving skills to assist with the daily operations and will have the following responsibilities:



About the Role:

  • Ensure effective prep and follow up for all meetings: review daily schedule to ensure the CEO has relevant information. (e.g., agendas, documents).
  • Liaison with President, Chief Creative Officer, Director of Client Services and HR Manager to ensurestrategic initiatives are prioritized and executed effectively.
  • Report directly to the CEO and play a crucial part in supporting the company's leadership team, ensuring smooth day-to-day operations, and driving strategic initiatives forward.
  • Act as a gatekeeper, ensuring a CEO’s involvement in a project or decision-making process is at the right moment.
  • Oversee strategic business initiatives, from development through successful execution, under the guidance of senior leadership and department heads.
  • Set daily priorities for CEO, helping to ensure that decisions about how CEO time is spent reflect their priorities.
  • Serve as a subject-matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of communications.
  • Develop and build on relationships with all employees for increased efficiency and responsiveness of existing operations and help define new operational strategies by working with CEO and other executives on special projects.


Responsibilities:


  • Arrange travel; flights, transportation, and accommodations; and create comprehensive and detailed itineraries for all traveling support staff.
  • Spearhead and manage projects or initiatives as directed by the CEO and ensure execution in accordance with expectations and brand guidelines.
  • Advise on key issues and present informed recommendations for strategic decisions; providing thorough analysis to support recommendations.
  • Job responsibilities subject to change and are contingent upon CEO’s business and personal needs.
  • Attend relevant meetings including capturing minutes and communicate out to stakeholders.
  • Conduct all aspects of the job with appropriate level of confidentiality and sensitivity to clients, projects, and vendors by not disclosing confidential information.
  • Assist with ad hoc projects in both CEO’s home and office as needed.
  • Liaise effectively with senior management team, employees, clients, vendors, and external partners.
  • Execute special research reports when necessary, preparing presentation materials, and completing all assigned tasks.
  • Directly assist, anticipate, and manage the CEO’s needs and proactively bring together appropriate stakeholders and resources to meet those needs.
  • Review and manage internal and external communications.



Qualifications & Skills:

  • Ability to handle multiple projects simultaneously and determine priorities.
  • 5+ years of total relevant work experience; with 3+ years managing projects in a dynamic environment.Start-up experience is a plus.
  • Natural curiosity and ability to ramp up quickly, leveraging the expertise of others.
  • Highly intelligent, creative, and strategic thinker who anticipates issues and opportunities and effects solutions with the ability to see the big picture with extreme attention to detail; strong analytical skills; disciplined and process oriented.
  • College degree preferred, but not required.MBA a plus.

Salary: $80K - $130K including benefits

Note to candidates- 3 Month trial period.
