As the only national AAPI reproductive justice organization in the nation, NAPAWF is leading the charge to impact policy and create systemic change throughout the United States. NAPAWF was founded in 1996 by 100 visionary AAPI women who recognized the need for an organization that would amplify their stories and experiences, giving them the agency they need to take control of their lives, and build power among families, and communities. What sets NAPAWF apart is their intentional community organizing in the AAPI space; being seen and heard in the public narrative gives them the necessary power and agency to make and shape policy and cultural change. With their presence in multiple cities across the country, NAPAWF mobilizes and builds power to create meaningful social, political and economic change within the AAPI community. Along with building AAPI power, they are champions of solidarity, and stand firmly with other women of color facing injustices of oppression and marginalization.

About The Position


Reporting to the Chief of Staff, the Chief Administrative Officer (CAO) is a hands-on leader who will play a key role in ensuring and maintaining the organization's financial stability, growth, and its successful administration. This role will oversee finance, accounting, HR, legal and other administrative aspects of the organization, participating in policy setting, implementation of practices, and communication with staff and Board, and enabling ongoing delivery of services.


Most financial operations are currently outsourced to a private firm, therefore, the CAO will oversee this relationship and have support to build and manage a finance department within NAPAWF. They will be responsible for the development of NAPAWF's financial management strategy and contribute to the development of the organization's strategic goals. In addition to the strategic components, the CAO will be charged with developing and implementing more sophisticated policies and procedures both in the administrative and general operational realms.

Responsibilities include, but are not limited to


Human Resources (estimated 40%) Oversight and management of all aspects of Human Resources to include


  • Serve as the primary contact for local, state and federal regulatory agencies
  • Establishes, implements, and maintains the organization's Human Resources policies, practices, and procedures ensuring a focus on diversity, equity, and inclusion in the attraction, development, and retention of talented staff.
  • Management of and coordination with NAPAWF's HR service provider, 401k custodian and servicer, and other related service providers
  • Lead annual staff review process
  • Serve as the lead contact for internal HR issues
  • Serve as the plan sponsor for all company benefit and retirement plans
  • Serve as the fiduciary for the company's retirement plan, working with the retirement plan servicer to maintain the plan in compliance with regulations


Financial and Accounting Management (estimated 35%) Oversight and management and, as needed, participation, creation, and improvement, of all systems and procedures for the proper accounting, reporting, forecasting, and other financial activities of NAPAWF including


  • Preparation and communication of recurring financial reporting, financial statements, 990 tax returns, donor requested budgets and grants-related financial reports
  • Communicating with and supporting the Finance and Audit Committee of the Board of Trustees.
  • Managing cash flow and investments and coordinating the relationships with banks
  • Managing risk and insurance for the organization
  • Oversight of compliance matters relating to federal, state and local laws and national best practice standards, including requirements applying to Section 501(c)(3) nonprofit public charities; and
  • Oversight of compliance of financial system and records to federal and state regulations, generally accepted accounting principles, Board policies, industry standards and other required standards
  • Control of the general ledger and sub-ledgers
  • Development of systems and processes to improve insights and efficiencies
  • Periodic forecasting and other analyses of financial condition and scenarios


Infrastructure (estimated 15%)


  • Establish the infrastructure, systems and processes necessary to support scalable growth across the organization, with an eye towards developing internal leadership, and improving knowledge management and communication within and across teams.
  • Ensure NAPAWF is working with the most up-to-date tools and resources available and is readily able to leverage technological systems and solutions to meet goals; oversee NAPAWF's IT infrastructure needs, managing internal staff and external vendors to provide the entire PAL team with the technology to work both efficiently and effectively.


Legal & Compliance (estimated 10%)


  • Liaise with NAPAWF's outside legal counsel to manage and track all legal matters; actively monitor regulatory changes and advise on policies and practices to ensure the highest levels of compliance, data protection and integrity.
  • Ensures compliance with federal, state, local, and organizational laws, regulations, guidelines, and best practices


Candidate Requirements


  • Strong communication and collaboration skills, including experience with high level presentations to senior leaders and board members
  • Deep experience leading and managing diverse teams, serving as a coach and mentor to management staff in a range of functional areas
  • Demonstrated passion for NAPAWF's vision and mission
  • Outstanding analytical and problem-solving skills with an overall execution orientation and high attention to detail
  • Thorough understanding of and personal involvement with systems and methodologies of finance, HR, IT and office administration.
  • Minimum of five years serving in leadership roles, with a track record of leading administrative and financial functions of a non-profit organization; knowledge of human resource, information technology, legal and compliance, and vendor management, a plus
  • Strong analytical and problem-solving skills.


Compensation And Benefits


The annual salary for this position is $150K - $175K commensurate with experience.


Location


Preference for candidates in Chicago, New York, Atlanta, and Washington, D.C. where NAPAWF has offices. This person will be expected to work in-office 2-3 days a week.


A highly competitive benefits package includes a 401(k) plan, medical, dental, and vision insurance. NAPAWF's medical plan is covered by NAPAWF at 100% for employees and dependents with no out-of-pocket costs, including prescription drugs costs. Qualified dependents may also be covered. NAPAWF offers full-time employees 15 days of vacation in the first year, sick leave, flexible spending program options and personal/family leave, as well as paid vacation between December 25 and January 2 of each year.
