Department Information


The Colorado Department of Corrections is committed to the safety of our employees. The CDOC has been working with state and local partners to proactively prevent the spread of COVID-19 within the state prison system.


Important Update (7/1/2023): Employees assigned to Buena Vista Correctional Facility, Limon Correctional Facility, Denver Complex and Sterling Correctional Facility are currently eligible for a $1,000 per month housing premium. The housing premium is scheduled to continue through 2023 or until all allocated funds are expended.


This position is only open to Colorado state residents.


This job announcement may be used to fill future Administrative Assistant III vacancies in Buena Vista.

Description of Job


Primary duties and responsibilities of this position include but are not limited to:


  • Make purchases using the state issued Purchasing Card (P-Card);
  • Is solely responsible for, or assists with, tracking the budget expenditures for the assigned area;
  • Answer and respond to staff/stakeholder/offender inquiries via phone, facsimile, email or in person;
  • Provide excellent customer service by directing and/or responding to all stakeholders to include internal and external departments, other state agencies, offender families and the general public;
  • Ensure supervisor and/or area manager is apprised of accurate budget totals on a regular basis.
  • Maintain a clear, concise and organized filing system electronically or physically;
  • Ensure clear and concise communication with supervisors and staff members within the work unit, various departments and other state agencies;
  • Assist with the supervision of area porters, monitors the assigned area's chemicals, equipment and other security/tool control items as necessary;
  • Assist the facility with ACA files and records management as assigned;
  • Collect and compile data to generate reports and routinely update reports to reflect current and accurate information;
  • Research information to resolve problems, concerns, errors, and/or complaints;
  • Type, review, file, copy and scan various documents and memos as needed;

Minimum Qualifications


Three years of general clerical experience in an administrative or office support role.


General clerical duties may include: The accurate and timely completion and processing of documents and information; data entry; printing; scanning and making copies; scheduling; accepting reservations or registrations; arrange meeting logistics and equipment; reception and intake; record keeping, filing and maintenance; answering multiline phones and relaying messages; and general administrative tasks in an office support environment.


Substitutions


College or university course work in Business, Criminal Justice or a similar discipline may substitute for the experience on a year for year basis.


Required Competencies


  • Exceptional interpersonal/customer service skills;
  • Established proficiency in position-related office technologies, especially Microsoft Office (Word, Excel and PowerPoint);
  • Ability to read and comprehend the English language;
  • Ability to work directly with offenders in a prison environment;
  • Efficient management/input of data and tracking;
  • Strong ability to multi-task and demonstrate flexibility;
  • Ability to effectively communicate fluently in English both verbally and in writing.
  • Impeccable organizational, planning and prioritizing skills;
  • Excellent written and oral communication skills;
  • Precise attention to details;


Preferred Qualifications


  • Experience supporting a program or work unit;
  • Experience creating and maintaining budgets and budget reports;
  • Experience proof-reading, editing, or creating documents;
  • Experience with National Crime Information Center (NCIC) and Colorado Crime Information Center (CCIC);
  • Clerical work experience, as defined above, within Colorado State Government.
  • Experience working with confidential information;
  • Experience with data-entry, checking and verifying;
  • If you are using the substitution, one year of clerical experience is preferred.

  • Have NO felony convictions, to include any actions defined in 5 U.S.C. 301; U.S.C. 509, 510; 42 U.S.C. 15601-15609. The CDOC shall not hire nor promote anyone who may have contact with an offender who has engaged in sexual abuse which includes acts, activity, and sexual behavior, in a prison or other institution as defined in 42 U.S.C. 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph. The agency shall consider any incidents of sexual harassment in determining whether to hire anyone who may have contact with offenders or residents.
